We are working exclusively with an industry leading client on the lookout for an Executive Assistant to join their head offices in Warwick for a 6-month FTC. This role requires an experienced Executive Assistant who thrives in a fast-paced, professional environment and enjoys being the trusted right-hand support to senior leaders, ensuring everything runs seamlessly behind the scenes.
Our client is on the lookout for a highly organised, proactive Executive Assistant to provide dedicated support to one of their Directors. This is an exciting opportunity to play a key role at the heart of the business, managing complex priorities, building strong relationships across the organisation, and helping drive business success.
No two days will be the same: from coordinating executive diaries and international travel to preparing board-level documentation and organising leadership events, you'll be a trusted partner who anticipates needs, solves problems before they arise, and ensures the Director can focus on strategic priorities.
Key responsibilities:- Provide comprehensive, proactive and highly confidential support to the Director
- Manage a complex and ever-changing diary, ensuring priorities are effectively coordinated
- Oversee email management, responding to and prioritising communications where appropriate
- Arrange national and international travel, including flights, accommodation, itineraries and associated logistics
- Act as the first point of contact on behalf of the Director, exercising sound judgement and discretion
- Organise executive meetings, leadership events and team activities from planning through to delivery
- Prepare high-quality presentations, reports, agendas, briefing papers and meeting packs
- Attend meetings, produce accurate minutes, monitor actions and ensure timely follow-up
- Coordinate monthly reporting and executive communications
- Maintain organised and secure document management systems
- Build strong relationships with colleagues, senior stakeholders and external partners, acting as a professional ambassador for the Director
- Support business projects and initiatives as required, ensuring activities are delivered efficiently and professionally
- Proven experience in an Executive Assistant role
- Exceptional diary, inbox and workload management skills
- Experience coordinating complex meetings, travel and executive events
- Outstanding organisational skills with the ability to manage multiple priorities and changing deadlines
- Excellent communication skills, both written and verbal
- The ability to handle highly confidential information with professionalism and discretion
- Strong stakeholder management skills, building effective relationships at all levels
- A proactive, solutions-focused approach with excellent attention to detail
- The confidence to work independently, anticipate business needs and use your initiative
- Advanced Microsoft Office skills, including Outlook, Word, Excel, PowerPoint and Teams
- Experience preparing professional documentation, presentations and meeting minutes
