Assistant Workplace Manager required to join a highly regarded global investment firm. Reporting to the Workplace Manager, you will play a key role in delivering an outstanding employee experience while supporting the smooth day-to-day operation of the office. Working closely with internal stakeholders, external vendors, and building management, you'll help create a workplace that is safe, efficient, and engaging for employees and visitors alike.
Key Responsibilities
- Take ownership of the day-to-day workplace experience, ensuring the office operates efficiently while maintaining exceptional standards across facilities, amenities, reception services, and employee support.
- Act as a key point of contact for workplace-related enquiries, supporting onboarding and offboarding processes, contributing to employee engagement initiatives, wellness programmes, and internal events, and helping foster a positive and productive working environment.
- Manage relationships with building management and external service providers, overseeing maintenance requests, workplace services, and operational projects. This includes supporting office improvements, renovations, and workplace initiatives, coordinating vendors, monitoring budgets, and ensuring facilities operate effectively and to a high standard.
- Support space planning, workplace utilisation, and office moves, maintaining accurate workplace data and reporting.
- Assist with health and safety programmes, access control management, emergency preparedness, and policy compliance, while identifying opportunities to improve processes, enhance operational efficiency, and contribute to continuous improvement initiatives across the workplace function.
Requirements
- 5+ years' experience within Workplace, Facilities, Office Management, or Corporate Services environments.
- Proficiency with workplace systems and tools such as ServiceNow, SharePoint, Slack, Excel, access management systems, and facilities platforms.
- Bachelor's degree or equivalent higher education qualification.
