About The Role
As a Financial Planning Administrator, you support the Associate Director and help deliver a seamless and professional experience for clients of Attivo. You coordinate administrative activities, manage workflows and ensure the Associate Director is prepared for meetings and ongoing service. You provide efficient day‑to‑day admin and diary management, keep records accurate, and handle client communications professionally and promptly. You support the wider team by managing workload capacity, coordinating tasks, and contributing to business projects and process improvements. Work from an Attivo office at least three days per week. This is a 12‑month fixed term contract.
About You
You are organised, proactive and client‑focused with experience in a financial planning environment. Comfortable managing multiple priorities in a fast‑paced setting, you have strong attention to detail and take pride in high quality admin and client service. Excellent interpersonal, communication and IT skills. Confidence building positive relationships with clients, advisers and colleagues. Experience with Intelliflo or similar CRM/financial planning systems is essential. Capable of working independently, using initiative and maintaining professionalism and discretion. We look for someone supportive, collaborative and committed to exceptional client experience with accuracy and efficiency.
Location suitable: Cheltenham, Fareham, Theale/Reading or Cardiff offices.
Key Responsibilities
- Support the preparation of client meetings and ensure collections documentation is accurate.
- Schedule, arrange and confirm client meetings and coordinate administrative tasks on the CRM.
- Provide full admin support to the Associate Director, producing letters and reports as required.
- Monitor team workflow, delegate tasks and ensure timely completion of work.
- Coordinate diaries of the Associate Director and supporting team.
- Act as main point of contact for client queries, delivering excellent client experience.
- Produce planning meeting letters and general correspondence to clients.
- Process withdrawals and handle general plan/policy maintenance such as LOAs, change‑of‑address requests, deceased client processing, etc.
- Collate, process and monitor required documentation to ensure new business implementation.
- Manage all lead, organic prospect and existing client relationships effectively.
- Maintain all systems up‑to‑date and compliant.
Essential Skills And Experience
- Minimum of 5 GCSEs at grade A‑5 (or equivalent), including Maths and English.
- Previous experience supporting a financial advisor.
- Experience with providers/platforms such as Abrdn, Aviva, Fidelity, AJ Bell, etc.
- Existing knowledge of Intelliflo or a similar customer relationship/financial management tool.
- Client‑facing experience.
- Excellent organisational skills and close attention to detail.
- Proficient in Microsoft Office (Word, Excel, Outlook Office 365).
- Strong verbal and written communication skills with ability to produce well‑presented documents.
- Capable of managing multiple tasks and prioritising workload effectively.
- Handle sensitive and confidential information with discretion and professionalism.
Desirable Skills And Experience
- Diploma in Regulated Financial Planning or desire to work towards it.
- Experience working as a PA or EA within professional services.
