About The Role

We’re looking for an experienced and proactive Senior Client Services Administrator to join our Client Services team.

This is an exciting opportunity for someone with strong Financial Planning administration experience who is looking to take the next step in their career.

As a senior member of the team, you will play a key role in supporting the early stages of the client journey, ensuring client enquiries, data changes, Letters of Authority (LOAs), pre‑meeting preparation and administrative workflows are completed accurately and efficiently.

You will act as a subject‑matter expert for key client service processes, handling more complex client queries, supporting colleagues with procedural guidance, and helping to drive consistency, quality and continuous improvement across the team.

Working closely with Financial Planners, support teams and key stakeholders, you will help ensure an exceptional client experience while supporting operational excellence across the business.

About You

You are an experienced Financial Planning administrator with excellent organisational skills and a passion for delivering outstanding client service.

You enjoy supporting and developing others, have a keen eye for detail, and take pride in maintaining high standards of accuracy and professionalism.

You are confident handling complex cases and enjoy finding solutions to challenges while ensuring positive outcomes for both clients and colleagues.

You will be comfortable managing competing priorities, working independently, and contributing to the continuous improvement of processes and team performance.

This role will be based in our Cheltenham Head Office with the successful applicant required to work from Cheltenham for a minimum of three days per week.

Key Responsibilities Include

  • Delivering all Client Services Administrator duties to a consistently high standard.
  • Acting as a subject‑matter expert for key client lifecycle processes, including Letters of Authority (LOAs), data updates, existing policy schedules, client retention, reallocations, and off‑boarding activities.
  • Handling complex and escalated client queries professionally and efficiently.
  • Supporting colleagues with procedural guidance and best practice.
  • Assisting with the onboarding, training and mentoring of new starters.
  • Contributing to the development and maintenance of training materials, guides and process documentation.
  • Performing quality checks on administrative output and identifying trends or areas for improvement.
  • Managing complex information gathering, provider chases and detailed client cases.
  • Supporting operational improvement initiatives and project work across the department.
  • Providing cover for colleagues and supporting the Team Leader during peak periods when required.
  • Preparing and coordinating pre‑meeting information and client documentation.
  • Supporting meeting bookings, client correspondence and administration activities throughout the client lifecycle.

Essential Skills And Experience

  • Previous experience within a Financial Planning or regulated environment.
  • Excellent organisational skills and high attention to detail.
  • Proficiency in Microsoft Office applications, particularly Word, Excel and Outlook (Office 365).
  • Confident in handling varied client interactions, with empathy and professionalism.
  • Strong written communication skills, with the ability to produce well‑presented documents.
  • Capable of managing multiple tasks and prioritising workload effectively.
  • Able to handle sensitive and confidential information with discretion and professionalism.

Desirable Skills And Experience

  • Working towards, or interested in studying, Financial Planning qualifications.
  • Previous experience supporting or coaching colleagues.
  • Ability to identify inefficiencies and support continuous improvement.
  • Strong problem‑solving mindset and confidence handling escalated client queries.
  • Competency using CRM systems, preferably Intelligent Office.
  • A minimum of five GCSEs at Grade A–B (or equivalent) including Maths and English.
