Who we are: Attention Industries Limited (previously SWNS Media Group Ltd) is a dynamic and fast-growing media and content business. We create, distribute and licence content at scale, working with leading publishers, brands, contributors and suppliers across our group of companies. As we continue to grow, we are strengthening our contracts and procurement processes to keep pace with the growth of the business.

The Role: Reporting to the Group General Counsel, the Contracts and Procurement Administrator plays a vital role in keeping our contracting and supplier onboarding processes accurate, efficient and compliant. You will be the first point of contact for client and contributor contracts coming through from the Sales and Creative teams, checking them for accuracy and completeness before they move to signature or legal review. You will also manage the onboarding of new suppliers, ensuring due diligence, terms of trading and compliance checks are completed consistently across the business.

This is a detail-oriented, process-driven role suited to someone who is highly organised, comfortable working to defined procedures, and confident liaising with colleagues across Sales, Operations, Creative and Legal to resolve queries quickly.

Key Responsibilities:

  • Contract Administration
    • Receive client contracts from the Sales team and contributor contracts from the Creative/News Content teams
    • Check that all contract fields are completed correctly, including accurate language, spelling and grammar
    • Sense-check any special or non-standard terms included in a contract
    • Liaise with the Sales and Creative teams to resolve any defects or missing information
    • Forward contracts containing amended or special terms to Legal for review
    • Ensure that the trading terms are agreed in writing with the trading partner before committing to Docusign for signature
    • Forward standard/legally cleared contracts for signature via DocuSign
    • Download completed contracts from DocuSign and upload them to the central contract hub
    • Maintain a diary of Master Services Agreement (MSA) expiry dates and flag upcoming renewals
    • Maintain record of special terms/contract variations agreed with clients and ensure these are applied to all contracts for the relevant client
  • Supplier Onboarding
    • Liaise with finance and operations teams to onboard new suppliers in line with company process
    • Issue standard terms of trading to prospective suppliers
    • Where a supplier insists on using their own terms, forward these to Legal for review
    • Submit anti-slavery questionnaires to all new suppliers and follow up to ensure completion
    • Maintain the anti-slavery compliance database, keeping records accurate and up to date
    • Ensure all suppliers complete the standard NDA and/or DPA where required
  • Environmental
    • Work with the Group's environmental working group and external consultants to support reporting on the Group's carbon footprint
    • Assist with any environmental reporting requirements, ensuring data and documentation are collated accurately and submitted on time
  • Data Protection
    • Assisting in responding to subject access requests, specifically in the redaction and compilation of documents to be sent to data subject making the request.

About You:

Essential

  • Excellent attention to detail, particularly with written language, spelling and grammar
  • Strong organisational skills, with the ability to manage multiple contracts and deadlines simultaneously
  • Clear and confident communicator, comfortable liaising with Sales, Creative, Finance and Legal teams
  • Methodical and process-driven approach to administrative work
  • Comfortable working with contract management or e-signature tools such as DocuSign
  • Ability to recognise when an issue needs to be escalated to Legal rather than resolved directly
  • Confident and competent in the use of relevant IT systems, especially Word, Excel
  • Previous use of DocuSign and Adobe Acrobat would be beneficial, although training will be provided
  • Self-disciplined and comfortable with remote working, and use of Microsoft Teams

  • Previous experience in a contracts, procurement or legal support/administration role
  • Familiarity with anti-slavery compliance requirements, NDAs and DPAs
  • Experience working in a media, content or creative business
  • Experience maintaining compliance databases or supplier records
