The Role

We are looking for a proactive, structured, intellectually curious, and emotionally savvy Executive Assistant to support our Managing Director. This goes beyond the secretary’s role. This is a strategic support function within a fast-paced international leadership consultancy environment. This opportunity offers flexible working hours, is fully remote, and can be hired in the UK or Germany.

As Executive Assistant, you’ll be the operational heartbeat of the Managing Director’s day-to-day. A strategic partner that keeps everything running smoothly. You’ll follow projects across time zones and bring calm confidence to even the busiest days.

Key Responsibilities

Executive Support & Organization

  • Manage complex calendars like a wizard, anticipating conflicts before they appear
  • Prepare meetings with full context and materials
  • Keep inboxes under control and prioritise with clarity by using flags and sorting folders
  • Coordinate internal and external stakeholders with charm and professionalism – Building and maintaining great relationships along the way
  • Prepare agendas, document decisions, and follow up on action points
  • Organise seamless and stress-free travel arrangements with full logistical anticipation
  • Stay on top of project developments, across time zones, with flexibility
  • Keep the MD fully informed about her agenda on the day, send her all needed information before meetings, and ensure she always has all that could be needed from operational side.

Content & Presentation Support

  • Create, format, and review PowerPoint presentations for pitches and workshops that make clients sit up and notice
  • Conduct light research to support proposals, RFPs, and client discussions
  • Help structure reports, executive summaries, and internal documents
  • Ensure visual and content consistency, clarity, and storytelling in presentations
  • Maintain templates and improve presentation standards

Client & Operational Support

  • Prepare client meetings and ensure nothing slips through the cracks
  • Take customer calls when required and ensure client needs are addressed, documented, and followed-up
  • Track deliverables and deadlines like a pro
  • Support coordination across multiple projects
