Provides high-level administrative and operational support to multiple senior leaders across Finance, Legal, and Officiating. Serves as the central coordination point for internal teams, Board and Committee members, and external partners in a fast‐paced, global environment.
Responsibilities & Duties
- Executive & Administrative Support
- Manage complex, multi‐executive calendars across global time zones; coordinate meetings with agendas and materials
- Arrange domestic and international travel; prepare and submit expense reports
- Support inbox management, prioritising and escalating communications as needed
- Board & Committee Coordination
- Coordinate logistics, scheduling, agendas, and materials for Finance, Audit, Investment, Officiating, Rules, Tournament Standards, and other committees
- Record and distribute meeting minutes; maintain document repositories
- Serve as primary contact for Committee and Board members; manage travel logistics and support onboarding
- Operational & Project Administration
- Maintain trackers, databases, and records; monitor deadlines and deliverables across departments
- Coordinate signature processes (DocuSign and wet ink); process invoices, memberships, and subscriptions
- Support cross‐functional projects, presentations, and continuous process improvement
- Finance Support
- Administer corporate credit card program; assist with expense review, reporting, and vendor coordination
- Legal & Compliance Support
- Assist with regulatory filings, document authentication, notarisation, and trademark administration
- Support KYC requests and compliance‐related administrative work across jurisdictions
- Officiating Operations
- Support officiating and competition committees; draft and distribute communications to tournaments and stakeholders
- Assist with rulebook updates, tracking, and general sporting leadership administrative need
Qualifications & Skills
- 3–5+ years supporting senior executives, ideally across multiple stakeholders or functions
- Strong organisational, time‐management, and communication skills (written and verbal)
- High discretion and professionalism; able to manage competing priorities in a global environment
- Proficiency in Microsoft Office, collaboration tools, DocuSign, and expense platforms
- Experience in a global or multi‐jurisdictional environment a plus
