Atlas Workplace Services is seeking a motivated Account Coordinator to join our team based in Milton Keynes, working from the office five days per week.

As an Account Coordinator, you will provide comprehensive administrative and coordination support to the Account Teams, ensuring consistent and proactive support across FM operations. Working with clients, operational teams, suppliers and subcontractors, you will play a key role in ensuring services are delivered efficiently, compliantly, and in line with agreed service levels.

Key Responsibilities

  • Coordinate workflow for all client and internal requests, ensuring works are completed in accordance with contractual SLAs.
  • Liaise with customers, operational teams and subcontractors to arrange and manage reactive maintenance visits from start to finish.
  • Coordinate subcontractor service visits in line with planned preventative maintenance (PPM) schedules.
  • Maintain CAFM records, ensuring accurate updates are entered to provide clear client visibility and a robust audit trail.
  • Upload and maintain subcontractor compliance documentation, service records and PPM paperwork.
  • Review service reports and raise follow-on work orders where required.
  • Work closely with operational delivery and scheduling teams to ensure works are managed by the appropriate resource.
  • Build and maintain effective working relationships with subcontractors, escalating any concerns where necessary.
  • Support the preparation and management of quotations through the CAFM system, including obtaining approvals.
  • Manage chargeable minor works requests and associated purchasing activities.
  • Raise purchase orders in accordance with company procedures and maintain accurate records within the CAFM system.
  • Ensure deliveries and associated documentation are correctly scheduled and recorded.
  • Validate invoices against committed costs, assisting with budgetary control and resolving discrepancies.
  • Ensure all costs associated with work delivery are accurately captured within the CAFM system.
  • Support risk management across the contract, escalating issues appropriately to minimise operational and financial impact.
  • Produce weekly and monthly operational, SLA and PPM reports.
  • Attend client and operational meetings to support account delivery.
  • Provide general administrative support as required by the contract and management team.
  • Comply with all relevant Health & Safety policies and procedures.
  • Contribute positively to the wider FM team culture.


About You

Minimum Qualifications, Certifications and Training required
  • GCSE English and Maths or equivalent

Essential Knowledge, Skills and Experience for this role

  • Good written and spoken English and a good level of numeracy.
  • Knowledge of Maximo or other CAFM systems is an advantage but not essential as training will be provided.
  • Good IT skills including Microsoft Office – (Excel and Word).
  • Excellent telephone and communication skills.
  • Previous experience of an administration role in an operational environment is essential.
  • Excellent customer service skills.
  • Aptitude and willingness to undertake further technical and business training (e.g. IOSH Managing Safely).
