Your role includes:

  • Acting as the key administrator for the Fatigue 360 system, ensuring all employee records are accurately established, maintained and updated, and that rosters align with operational and project requirements whilst maintaining compliance with relevant policies and standards.
  • Managing and administering Fatigue 360 across the Practice, monitoring fatigue and associated risks, proactively liaising with employees and managers to identify issues and implement appropriate actions where required.
  • Producing and distributing roster, fatigue and compliance reports from Fatigue 360 in line with Terms & Conditions, management reporting requirements and operational needs.
  • Coordinating and allocating resources effectively to maximise workforce productivity and operational efficiency, supporting workforce planning activities to ensure the right resources are available at the right time to meet business and client requirements.
  • Planning, arranging and communicating accommodation and travel requirements for employees, ensuring practical, timely and cost-effective solutions are delivered to support operational delivery.
  • Providing support and guidance to managers and employees on roster management, fatigue compliance and workforce planning activities, delivering a high level of customer service and responding promptly to workforce planning, travel and accommodation queries.
  • Monitoring staffing levels and resource availability, identifying potential resource gaps and supporting contingency planning.
  • Maintaining accurate workforce planning records and providing management information, reporting and analysis to support decision-making.
  • Building effective working relationships with internal stakeholders and external suppliers, ensuring adherence to company policies, industry regulations and fatigue management requirements, contributing to continuous improvement initiatives, and supporting the Practice Manager with administrative, operational and resource management activities as required.

About you:

  • Highly organised with excellent attention to detail and the ability to manage multiple priorities effectively within a fast-paced environment.
  • A confident communicator with strong interpersonal skills and the ability to build effective working relationships with colleagues, managers, operational teams and stakeholders at all levels.
  • Capable of working independently, using initiative to solve problems and respond to changing operational demands, whilst contributing positively to a collaborative team environment.
  • Experience working in an administrative, coordination or scheduling role, ideally within a structured, regulated or operationally focused environment.
  • Strong working knowledge of Microsoft Office applications and the ability to maintain accurate records, produce reports and manage multiple tasks effectively.
  • Able to work under pressure, adapt to changing priorities and support operational delivery through effective resource coordination and workforce planning activities.
  • Experience in rostering, workforce planning, scheduling or resource coordination would be advantageous, as would experience within aviation, emergency services, healthcare, transport, professional services or similar operational environments.
  • GCSEs (or equivalent) including Mathematics and English, together with a Full UK Driving Licence.

You will be self-motivated, reliable, professional and adaptable, with strong problem-solving skills, a collaborative approach, and confidence engaging with a wide range of stakeholders. A flexible approach to working arrangements and occasional travel will be required to meet operational needs.
