Location: Norwich

Salary: Β£33,475 per annum

Hours: Full-time, Monday to Friday

Contract: 9-month fixed term contract

We are currently recruiting for an experienced Executive Assistant to join an established and highly regarded organisation in Norwich.

This is a varied and senior support role working closely with the Executive Leadership Team. You will provide high-level administrative and organisational support to senior leaders, while also taking responsibility for Board and governance administration, stakeholder engagement, events and strategic projects.

The successful candidate will be highly organised and proactive, with the ability to manage a varied workload, build strong relationships and remain calm when working to tight deadlines.

Key Responsibilities

Executive Support

  • Provide proactive executive support to senior leaders, helping them manage priorities and focus on strategic objectives
  • Manage complex and changing diaries, meetings and appointments
  • Prepare meeting papers, briefings, presentations, reports and other documentation
  • Act as a key point of contact for staff and external contacts wishing to engage with senior leaders
  • Arrange travel, accommodation, itineraries and associated logistics

Board & Governance

  • Coordinate the administration of Board and Committee meetings
  • Attend meetings and accurately record minutes and actions
  • Coordinate Board calendars, meeting schedules and key deadlines
  • Assist with Trustee/Board inductions and related activities
  • Act as a key liaison between senior leaders, Board members and other stakeholders

Project & Organisational Support

  • Support the coordination of strategic projects and organisational initiatives
  • Monitor project timelines, actions and reporting requirements
  • Prepare agendas, presentations, reports and project documentation

Events & Stakeholder Engagement

  • Coordinate internal and external events from planning through to delivery
  • Arrange venues, catering, accommodation, travel and other event logistics
  • Coordinate stakeholder, partner and VIP visits
  • Prepare guest lists, schedules, briefings and supporting materials
  • Act as a key point of contact for attendees, speakers and external partners

About You

We are looking for an experienced Executive/Personal Assistant who is comfortable working at a senior level and managing a varied workload.

You will ideally have:

  • Excellent organisational and time-management skills
  • Strong attention to detail and accuracy
  • The ability to manage competing priorities and work to deadlines
  • Confidence working independently and using initiative
  • Experience handling confidential and sensitive information
  • Strong Microsoft Office skills
  • Excellent interpersonal skills and the ability to build effective relationships at all levels
  • A flexible, proactive and positive approach to work

Please note: This is a varied role which may occasionally require evening or weekend support for meetings, events and stakeholder activity.
