As Hire Desk Coordinator, you'll:
- Manage daily operations for the hire desk
- Coordinate booking requests, processing hires, and returns
- Communicate with rental customers and internal teams for scheduling
- Maintain accurate rental documentation (orders, agreements, returns)
- Monitor stock levels and report equipment availability or maintenance needs
- Work with technical teams to ensure equipment is service-ready
- Provide outstanding customer service and respond promptly to enquiries
- Implement hire desk procedures and workflows
Key Responsibilities:
- Booking & Coordination: Handle hire requests, confirm availability, update schedules.
- Documentation & Administration: Prepare hire contracts, issue invoices, log returns and damage reports.
- Inventory Tracking: Update our hire system, flag low stock, assist equipment procurement.
- Customer Engagement: Serve as the point of contact for customers, managing enquiries and issues.
- Cross‑Team Collaboration: Coordinate with logistics, technical, and projects departments.
- Continuous Improvement: Assist in refining processes to boost desk efficiency and service quality.
Essential Skills & Experience:
- Prior experience in hire desk, equipment rental, or event logistics
- Strong administrative capability: order processing, documentation management
- Excellent organisational skills with acute attention to detail
- Confident communicator, comfortable liaising with customers and multiple departments
- Process-oriented mindset; adept at implementing structure
- Proficient in MS Office, experience with rental or inventory systems is a bonus

- Full-time, 42.5 hours per week; occasional early starts or late finishes depending on hire returns
- Reports to Hire Desk Manager for the branch
