Job Description
As Hire Desk Coordinator, you\βll:
β Manage daily operations for the hire desk
β Coordinate booking requests, processing hires, and returns
β Communicate with rental customers and internal teams for scheduling
β Maintain accurate rental documentation (orders, agreements, returns)
β Monitor stock levels and report equipment availability or maintenance needs
β Work with technical teams to ensure equipment is service-ready
β Provide outstanding customer service and respond promptly to enquiries
β Implement hire desk procedures and workflows
Key Responsibilities
2. Documentation & Administration β Prepare hire contracts, issue invoices, log returns and damage reports.
3. Inventory Tracking β Update our hire system, flag low stock, assist equipment procurement.
4. Customer Engagementβ Serve as the point of contact for customers, managing enquiries and issues.
5. CrossβTeam Collaboration β Coordinate with logistics, technical, and projects departments.
6. Continuous Improvement β Assist in refining processes to boost desk efficiency and service quality.
β Strong administrative capability: order processing, documentation management
β Excellent organisational skills with acute attention to detail
β Confident communicator, comfortable liaising with customers and multiple departments
β Process-oriented mindset; adept at implementing structure
β Proficient in MS Office (especially Excel); experience with rental or inventory systems is a bonus

β Full-time, 42.5 hours per week; occasional early starts or late finishes depending on hire returns
β Reports to Hire Desk Manager for the branch
