The IT Inventory Specialist is a hands-on, operations-focused role responsible for keeping our client’s IT hardware ecosystem running smoothly. You will own the day-to-day operation of IT peripheral vending machines, manage hardware inventory from receipt through deployment, and ensure employees have the equipment they need—on time and without friction. This role sits at the intersection of physical logistics, data accuracy, and employee experience.
Key Responsibilities- Inventory & Asset Management
- Receive and inspect inbound IT shipments, confirm accuracy against purchase orders, and report discrepancies.
- Tag, record, and maintain accurate inventory data and stock levels in the asset management system.
- Stage, image, and update laptops, mobile devices, and accessories for new hires and device replacements.
- Prepare YubiKeys and other security hardware for distribution.
- Perform cycle counts, helpdesk replenishment, discrepancy reconciliation, and assist with asset returns and redeployment.
- Shipping & Logistics Operations
- Prepare and process outbound shipments for new hires, device replacements, and returns.
- Coordinate with logistics partners to ensure shipment records are accurate, tracked, and up to date.
- Maintain organized storage and staging areas across office locations.
- Support cross-office and international device shipments as needed.
- IT Vending Machine Operations
- Restock IT peripheral vending machines across supported office locations, maintaining appropriate inventory levels based on demand and established stock thresholds.
- Reconcile machine stock with backstock inventory to maintain accurate vending machine counts.
- Conduct regular inspections to ensure vending machines are clean, operational, and ready for employee use.
- Act as the on-site operational point of contact for vending machine vendors, coordinating troubleshooting, maintenance, repairs, and scheduled service visits.
- Monitor vending platform dashboards, alerts, and operational metrics; identify and resolve outages, stock shortages, or machine issues promptly.
- Support vending machine deployments and operational changes—including staging equipment, assisting with installations or relocations, and configuring SKUs or planograms as directed.
- Assist in creating and maintaining SOP documentation for restocking, troubleshooting, reconciliation, and operational reporting; continuously identify and drive process improvements.
- Systems & Data Accuracy
- Maintain real-time accuracy of inventory and device assignment records.
- Support data accuracy, reporting, and audit needs for Finance, Security, and Compliance stakeholders.
- Escalate discrepancies or process gaps to senior IT Logistics team members for resolution.
- Support & Collaboration
- Respond to logistics-related helpdesk tickets and ad-hoc requests in a timely manner.
- Support onboarding events and new-hire orientation classes with hardware setup and equipment provisioning.
- Contribute to SOP documentation and ongoing process improvement initiatives across the IT Logistics team.
- Required
- 3-7 years of experience in IT logistics, asset management, warehouse operations, or a related field.
- Hands-on experience with inventory or asset management systems (e.g., ServiceNow, Jamf, or similar platforms).
- Familiarity with IT hardware—laptops, mobile devices, peripherals, and security tokens (e.g., YubiKeys).
- Strong attention to detail and a track record of maintaining accurate data and records.
- Ability to lift and move equipment (up to 50 lbs) and perform physical tasks in a warehouse or office environment.
- Effective written and verbal communication skills for vendor coordination, ticket responses, and documentation.
- Self-starter who can manage priorities across multiple office locations with minimal supervision.
- Preferred
- Exposure to device imaging and deployment workflows (e.g., MDM platforms, imaging tools).
- Experience processing domestic and international shipments.
- Familiarity with planogram concepts or retail/vending SKU configuration.
- Prior experience operating or maintaining hardware or retail vending systems.
