As a Personal Assistant, you will be a key partner to senior leaders, demonstrating advanced automation and digital solutions to streamline workflows and deliver support across business operations, communications, and project activities. If you’re a digital native with a passion for improvement and the ability to anticipate business needs, this role is for you!

Responsibilities:
  • Manage complex calendars, prioritize meetings, and coordinate across global time zones using intelligent digital platforms.
  • Arrange complex international travel, visas, and accommodations; reconcile expenses and ensure policy compliance.
  • Support procurement processes including PO creation, vendor onboarding, SOWs, and invoice tracking, adopting and influencing standardized ways of working.
  • Plan and implement virtual and hybrid events, leveraging collaboration tools (Teams, Zoom, etc.) and digital logistics solutions.
  • Be responsible for the operating rhythm for committees/teams, tracking actions and deliverables with automated dashboards and workflow tools.
  • Handle sensitive information with discretion, employing secure digital platforms for information management.
  • Establish effective relationships with the wider Business Coordinator community, GSC&S Leadership Team, Global Operations groups, and external partners.
  • Demonstrate confident communication skills, managing priorities and expectations with integrity and influencing positive outcomes.
  • Continuously review and refine administrative processes, implementing standards and templates to maximize automation and digital enablement.
  • Proactively use available learning and tools (e.g., ChatGPT, Copilot, Thriving in the Age of AI training) and seek development opportunities.
  • Champion the adoption and integration of automation tools (e.g., AI-driven scheduling, digital document management) to simplify and standardize business support processes and develop a culture of innovation and learning.

May involve occasional early/late meetings to accommodate different time zones worldwide. Periodic travel may be required for onsite meetings and events.

Qualifications:
  • Education: Bachelor’s degree or equivalent experience.
  • Proven experience managing complex calendars, meetings, international travel, expenses, procurement (POs/SOWs/vendor onboarding), invoices, and vendor management across time zones.
  • Hands‑on use of enterprise AI and automation tools (e.g., Copilot, AZ ChatGPT) to streamline workflows, scheduling, and standardize processes.
  • Ability to design and maintain automated trackers/dashboards (e.g., Power BI, SharePoint/Lists, Smartsheet) for actions, deliverables, and operating rhythms.
  • Advanced proficiency with Microsoft 365 (Teams, Outlook, SharePoint, OneDrive) and digital tools (Teams, Zoom, etc.) for virtual/hybrid events and logistics.
  • Strong adherence to confidentiality, data privacy, and information governance using secure digital systems.
  • Analytical, organizational, and communication skills; effective stakeholder management at senior levels.
  • Proven ability to collaborate across teams and levels, communicating clearly, adapting quickly, and building productive relationships that make partnering straightforward and effective.
  • Demonstrated ability to inspire change, solve problems proactively, and handle multiple priorities in a fast‑paced global environment, with ongoing upskilling in AI/digital tools.
