Executive Business Administrator – Dublin (Hybrid)

Contract Role | Immediate Start – 31 Dec 2025

We’re looking for a highly capable Executive Business Administrator to support a leader and their leadership team in a fast-paced, collaborative environment. This hybrid role (3 days/week onsite in our Dublin office) offers the opportunity to contribute to high-impact operations and team coordination.

Location: Dublin (Hybrid – 3 days/week onsite)
Start Date: ASAP
End Date: 31st December 2025 (with quarterly PO approvals)

What You’ll Do:

Executive & Team Support

Coordinate complex calendars across time zones and proactively resolve scheduling conflicts.
Organize domestic and international travel, including itineraries, visas, and briefing materials.
Lead the team’s Rhythm of Business (ROB): prepare agendas, pre-reads, logistics, notes, and action tracking.
Manage expense submissions and reconciliations; monitor budgets and vendor invoices.
Support purchasing workflows: raise/track POs, route contracts, and maintain documentation.
Assist with vendor setup, hardware orders, and asset tracking.
Maintain org charts, distribution lists, and shared repositories.
Format presentations and communications; coordinate morale events and executive visits.
Facilitate onboarding/offboarding and liaise with Facilities on workplace matters.
Promote adherence to company policies and identify opportunities for process improvements.Team Coordination

Guide and support a Junior Group Administrator, helping prioritize tasks and ensure quality.
Provide coaching on tools and workflows; review submissions for accuracy.
Offer feedback and development support; ensure coverage during absences.
Consolidate reporting and escalate risks when needed.

What You Bring:

Strong skills in calendar and travel coordination, especially across multiple time zones.
Confidence using Outlook and Microsoft Office tools (Word, Excel, PowerPoint).
Ability to manage multiple priorities and maintain confidentiality.
Clear communication and organizational skills.
Familiarity with purchasing, budgeting, and compliance processes.
Comfort working onsite in Dublin 3 days/week.
