We are seeking a Bilingual Administrative Assistant to support our legal, tax, and accountancy teams in a fast-paced, highly professional environment.
This position is ideal for a young, motivated, detail-oriented professional looking to build a long-term career within an international practice. Importantly, this role is also a proactive career opportunity for candidates who wish to become accountants in the future, as the position offers close involvement with bookkeeping, HMRC processes, Companies House filings, and tax workflows. There is clear room to grow, and career progression into an accountancy pathway will be fully supported.
Responsibilities
- Administrative & Office Support
- Manage incoming post, scan and file documents, maintain organised internal records.
- Prepare and structure Excel spreadsheets, registers, and workflow systems.
- Assist with day-to-day operational and office coordination tasks.
Client Communication
- Communicate with clients in English and Spanish, via email, WhatsApp, Teams, and phone.
- Request documents required for tax returns, VAT, payroll, and compliance processes.
- Follow up on deadlines and assist clients with information requests.
- Make calls to HMRC to request updates, submit information, and resolve queries.
- Support HMRC registrations such as VAT, PAYE, CIS, and UTR.
- Assist with Companies House filings and company formation processes.
Corporate & Legal Support
- Assist with simple legal administrative tasks (scanning, uploading, printing, filing).
- Coordinate apostilles, notarised documents, and occasional visits to consulates.
- Organise internal systems, document workflows, and compliance records.
Meetings & Team Support
- Attend internal meetings when required and take clear notes with follow-up actions.
- Maintain a professional and presentable manner when interacting with colleagues and clients.
Requirements
- Bilingual Spanish & English (verbal and written) – mandatory.
- Strong organisational skills with high attention to detail.
- Professional communication skills and confidence making calls to HMRC and clients.
- Good proficiency in Microsoft Excel, Word, Outlook, and digital document tools.
- Ability to manage multiple tasks, prioritise deadlines, and work methodically.
- Professional discretion and strict confidentiality in handling sensitive information.
- A proactive attitude and willingness to learn new systems and procedures.
