Assemble Events is a growing, full-service events management company partnering with universities and non-profit organisations across the globe. We deliver high-impact virtual, in-person and hybrid events across the education sector — from graduations and global conferences to festivals, award ceremonies and strategic institutional events.

We are now looking for an exceptional Business Support Officer to become the operational heartbeat of our business. This is not a standard admin role. It is an opportunity for someone who thrives on bringing order to complexity, building smarter systems and playing a pivotal role in a growing, ambitious company.

The Role

Working directly with the Founder and Director, you will operate at the centre of the business — ensuring operations run smoothly, priorities are aligned and systems support growth. You will be trusted with real responsibility. From financial administration and HR coordination to executive support and operational improvement, your work will have visible impact across the organisation.

We are looking for someone who:

  • Enjoys improving how things work, not just maintaining them
  • Spots inefficiencies and proactively solves them
  • Takes ownership and works independently
  • Is commercially aware and understands how operational excellence supports profitability
  • Wants to grow with a business and shape its internal infrastructure

If you are highly organised, detail-driven and energised by building efficient processes, this role offers genuine scope and influence.

Key Responsibilities

  • Executive & Business Support
    • Provide day-to-day administrative support to the Founder and Director, including diary management and scheduling
    • Coordinate meetings, prepare agendas and manage follow-ups
    • Assist in establishing and maintaining office procedures
  • Financial, Operations & HR Support
    • Process invoices and expenses
    • Track budgets and expenditure
    • Assist with payroll administration and employee onboarding documentation
    • Maintain accurate employee records
    • Office management – helping establish and maintain office procedures
  • Event & Office Administration
    • Support event delivery through administration tasks such as badge preparation, guest lists and research
    • Assist with event logistics as required
    • Oversee general office management and administrative processes
    • Set up, review and improve internal systems to streamline operations and workflows

Skills & Experience

  • Proven experience in an administrative, business support or office support role
  • Strong organisational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High level of attention to detail
  • Proficiency in Microsoft Office and/or Google Workspace
  • Understanding of finance and/or HR processes
  • Proactive problem-solver with strong attention to detail
  • Experience with Xero or similar accounting software
  • Experience working in events, education or non-profit sectors
