A school in the Dudley area is seeking a reliable and well-organised School Office Administrator to join its office team on a part-time basis to cover a period of maternity leave. This is a key front-facing role within the school and would suit an individual with strong administrative skills who is confident working in a busy educational environment. Working Hours
School hours (exact start and finish times will vary depending on the school) typically between 8.00am - 4.00pm, Monday to Friday. Hours and working pattern to be confirmed with the successful candidate.
Key Responsibilities
- Provide an effective and professional front-of-house service and administrative support to the school, adhering to safeguarding requirements at all times.
- Issue communications and letters to parents, staff, and pupils as required.
- Manage telephone, email, and face-to-face enquiries from all school stakeholders.
- Utilise ParentMail for school communications, including managing registrations and responding to queries.
- Support the organisation and administration of school events, trips, and related activities.
- Receive and manage all deliveries into school, including distribution to staff and associated administration.
- Manage incoming and outgoing post.
- Assist with the management and monitoring of school stock items.
- Undertake a range of school administration tasks, including Under 5s milk returns, goods receipting, and agency spreadsheets.
- Administer first aid as required by the role.
Data Management
- Maintain and update pupil records using the school's management information systems, ensuring accuracy and compliance with data protection requirements.
Support for the School
- Comply with policies and procedures relating to safeguarding, health and safety, security, confidentiality, and data protection, reporting concerns appropriately.
- Contribute to the overall ethos, values, and aims of the school or Trust.
- Participate in training, performance development, and learning activities as required.
- Attend and contribute to meetings as required.
- Undertake any other duties commensurate with the responsibilities and grade of the role.
The Ideal Candidate
Experience
- Demonstrable office-based administrative experience, including the development and use of administrative systems.
- Previous school office experience is desirable but not essential.
Qualifications / Training
- Educated to GCSE or NVQ Level 2 standard (or equivalent) in literacy and numeracy.
- Willingness to undertake relevant training as required.
- First Aid qualification (desirable).
Practical Skills
- Confident and effective use of ICT packages.
- Very good keyboard and data entry skills.
- Ability to use standard office equipment (e.g. computer, photocopier, telephone).
- Ability to plan, implement, and maintain effective administrative systems.
Safeguarding
This role involves working with children and young people. The successful candidate will be required to undertake an enhanced DBS check and comply with all safeguarding policies and procedures. The cost of the DBS check will be the responsibility of the successful candidate.
