Aspire Jobs are delighted to be working in an exclusive partnership with 3 Hive Ltd. 3Hive Ltd is a family run business operating semi-independent provisions to young people within the care system. 3Hive currently operate 4 homes in the BCP area providing a therapeutic supported accommodation service to young people 16+.
They are committed to empowering and supporting young people during their transitional phase towards Independence, ensuring they have the necessary skills, guidance, and opportunities to thrive.
Their homes are set up to be like a family home or as close as possible.
They offer a 24/7 service to the young people they look after.
They are now looking for a part-time Office Manager to join their small admin team.
The role is available due to retirement.
The main purpose of this role is to provide a comprehensive and confidential HR/administrative support to the Registered Service Manager and Directors.
You will be the first point of contact for all staff from and HR perspective.
You will be efficient, competent and possess a good understanding of the administrative functions and systems used for 3Hive, providing the leadership team and other staff members with a high level of assistance, information, and helpful support in relation to the data and functions that these provide.
- You will also provide administrative support as required across other areas of the homes
- The successful Office Manager will: -
- Ideally have previous HR or strong admin experience (HR experience preferred but not essential)
- Be good with computer systems and familiar with MS Office (Excel, Word, Outlook and Powerpoint)
- Be process driven with excellent attention to detail
- Ideally have some compliance admin experience as this is a heavily regulated industry
- Have a high level of written and verbal communication
- Have a good sense of humour
- Be caring in nature and have the ability to work in a busy environment

- Have excellent organisational skills with the ability to set priorities
Responsibilities
You will be required to carry out a range of HR/ administration duties within your role.

- To safeguard and promote the welfare of the young people you support.
- To maintain appropriate confidentiality of information.

- To bring to the attention of a senior colleague any matter for concern over the well-being, safety or safeguarding of a young person we support.
- Our Staff
- To maintain accurate and confidential files for the staff and young people within the homes of 3Hive.
- To ensure timely and accurate reporting and logging of staff shift hours, sickness, annual leave in accordance with the 3Hive payroll deadlines.
- To log Staff training both on our Clearcare System and Excel Spreadsheet
- To take an active part in Recruitment
- Following Our Safer Recruitment Policy
- Ensuring all checks are completed and logged
DBS and Right to work checks.
- Support the senior management team on the induction program of new staff, probation reviews and ongoing training schedules.
- Communicate staff notifications via Outlook.
- To provide administrative support, as directed by the Service Manager/Homes Directors for staff team meetings, internal investigation, disciplinary and grievance meetings, and any other HR meetings, ensuring that relevant procedures are followed.
- To act professionally and work co-operatively as a member of a staff team, and contribute to a culture of open communication, to include constructive feedback for self and colleagues, including volunteers.
- To promote equality of opportunity, a respect for diversity and anti-oppressive practice.
- Ensure all staff information is kept up to date on the management reporting systems.
- To ensure that all communications and correspondence are dealt with in an efficient and effective manner.
- To provide comprehensive administrative and operational support as required including Home, Staff and Young People diary management, written and verbal communication with social workers and other professionals.
- Support Maintenance of documentation required to comply with the Homes regulations including Ofsted quality standards.
- To work within the code of confidentiality and ensure that records in the home are stored in a manner which is compliant with the General Data Protection Regulations.
