Aspinal of London is looking for a Production Coordinator to support the Head of Production in delivering the production from sign-off to launch, maintaining on-time delivery of 95% and ensuring the product meets all key stakeholders’ milestones in terms of delivery and margin from all global partners. This role requires attendance in the office at least 4 days per week in Fernhurst.

Accountabilities:

  • Build strong relationships with all AOL suppliers to achieve 95% on-time delivery.
  • Ensure POs are raised correctly and monitored throughout the season to prevent jeopardizing delivery.
  • Support critical path management throughout the production process, working closely with the RM team and Senior Production Coordinator.
  • Communicate with suppliers to ensure shipments and paperwork are correct before handing over to the Production Admin Assistant.
  • Support the photography process, assisting the Administrator to ensure all images online are respective of the product.
  • Keep the system up to date and accurate.
  • Own the freight spend and tracking, accurately recording all spend data and reporting monthly.
  • Ensure all PO supplier information is correct and sent promptly.
  • Proactively collate information to report accurate delivery status to the business.
  • Respond to pending questions within 24 hours.
  • Partner with logistics to achieve budget targets, analyzing freight and planning shipments.
  • Manage the freight tracker, ensuring all costs are accounted for and movement is optimized.
  • Support on-time delivery goals by communicating with suppliers and managing dedicated supplier relationships.
  • Assist the Production Admin in timely sending of PPs, quick turnaround of comments, aligned with the Creative Director’s vision.

Product and Critical Path Review:

  • Ensure CPs are called in weekly.
  • Own the PO Schedule, ensuring accurate and timely updates from suppliers for the system.
  • Attend weekly supplier calls, taking notes and ensuring follow-up.

System Responsibilities:

  • Upload orders onto NAV, ensuring accuracy after confirmation by the Senior Production Coordinator.
  • Confirm PO logging and requirements with suppliers and Raw Materials Team.
  • Maintain NAV with the latest information, supporting admin tasks.
  • Assist with supplier invoice matching within 48 hours.
  • Notify the Head of Production of any discrepancies.
  • Understand Aspinal’s quality standards and flag issues, supporting review processes.
  • Demonstrate strong Excel skills.
  • Be self-motivated with good time management and prioritization.
  • Maintain strong communication with team and suppliers.
