Aspinal of London is looking for a Production Administrator Assistant to join our Production Team at our Head Office in West Sussex. This role supports procurement and production of the supplier category, handling administrative duties and ensuring system updates. It also involves logistics support, managing monthly spends, and coordinating freight and uplifts. This role requires attendance in the office at least 4 days per week in Fernhurst.

Accountabilities:

  • Ensure system accuracy, especially NAV and PO Schedule.
  • Chase deliveries & paperwork to provide visibility of intake; update NAV and communicate with Goods In team.
  • Monitor the production critical path, especially ex-factory dates, and flag issues.
  • Support logistics and supplier communication, including critical path updates.
  • Maintain key business documents.
  • Check prices, SKUs, and orders for accuracy.
  • Manage team calendar with key dates and holidays.

Product Ordering Cycle:

  • Assist in daily communication with suppliers.
  • Upload and confirm orders on NAV.
  • Ensure PO logging and requirements communication to Raw Materials Team.
  • Keep NAV updated with recent information.
  • Maintain PO Schedule.
  • Match supplier invoices within 48 hours and notify discrepancies.

Monitoring Shipments:

  • Update delivery schedules weekly in NAV.
  • Share packing lists and schedule deliveries.
  • Verify packing lists with intake units and address issues.
  • Amend blends as needed with support from managers.
  • Match invoices with stock intake and forward to finance.

Assisting with QC:

  • Understand Aspinal’s quality standards and flag issues.
  • Support quality control processes.

Strong Excel skills required. Self-motivated with good time management. Excellent communication skills with teams and suppliers.
