Aspinal of London are looking for a Jewellery & Accessories Production Coordinator to support the Head of Production on delivering the Jewellery and Accessories product from development sign off hand over through to launch, maintaining on time delivery of 97% ensuring the product meets all key stakeholders' milestones in terms of delivery and margin from all global partners. This role will require being in the office 3/4 days a week in Fernhurst with the other days working from home. You must also be able to travel 2+ times per year internationally.
Accountable for:
- Building strong relationships with all AOL suppliers to achieve 97% on time delivery.
- Accurate and prompt placement of the season master buys post buy hand over from the Head of Production, actively tracking into the business.
- Responsible for direct reorders and top ups as required, ensuring business needs are met and raising concerns to the Head of when needed.
- Ensuring POs are raised correctly and accurately, monitoring throughout the season to not jeopardise delivery.
- Holding full ownership of the jewellery critical path management throughout the production process from start to end, working closely with the Jewellery Product Manager from hand over to store launch.
- Supporting the photography process, ensuring all images online are respective of the product.
- Ensuring that the system, bible and POs are always up to date and accurate with all live prices.
- Owning the freight tracker sheet and accurately recording all spend data, reporting out on a monthly basis the updated spend.
- Ensuring stock arrives to the Aspinal level of quality, supporting the product team with packaging SOP and enforcing QC checks.
- Handling all Assay communication, delivery and purchase orders to ensure prompt accurate turnaround back into the business.
- Managing all invoices relating to the product category.
Supplier Liaison:
- Ensuring all PO supplier information is correct and sent in a timely manner.
- Proactively collating all information to report out correct delivery information to the business.
- Being proactive in replying to all pending questions within 24 hours.
- Partnering with logistics in achieving budget targets, analysing freight and forward planning shipment bookings.
- Owning the freight tracker for the jewellery and accessories product group, ensuring all costs are accounted for and the best method of movement is planned.
- Being dedicated to the goal of on time delivery, supporting the Head of Production with communication with suppliers and owning your categories full communication.
- Actively chasing in the PPs to ensure they are sent in good time, comments are turned around in a timely manner and in line with the business vision.
Product and Critical Path Review:
- Full ownership of buy hand over to delivery intake.
- Solely responsible for all top ups / reorders required, ensuring that live prices are recorded within the production bible and the system is 100% accurate at all times.
- Ensuring CPs are called in on a weekly basis.
- Owning the PO Schedule and accurately updating the system, understanding it is a key tool for the wider business.
- Holding weekly calls with suppliers to have full visibility of the production life cycle and expected completion dates.
- Forward thinking and pre-booking capacity with the supplier as and when required.
- Managing the full cycle of the Assay office process, ensuring delivery is turned around within the timeframe needed, costs, purchase orders and freight are accurately managed and stock arrives back in the agreed packaging SOP to ensure quality standard expectations continue to be met.
System Responsibilities:
- Uploading orders onto NAV and ensuring information is accurate once confirmed by the Head of.
- Confirming with suppliers that POs have been logged and requirements have been passed to the Raw Materials Team.
- Always ensuring Aspinal systems (NAV, bible, trackers) are updated with the most recent information.
- Ensuring all invoices are matched within 48 hours, noting the impact on the business if not done so.
- Notifying the Head of any discrepancies or issues should they arise.
- Having a clear understanding of Aspinal's quality standards and handling any quality issues with the support of the team.
Key Skills:
