Aspinal of London is seeking a highly organised and hands‑on Project Coordinator to provide maternity cover within the Graphics team. The successful candidate will be responsible for managing seasonal workflows across the Graphics team, ensuring the timely delivery of assets across e‑commerce, campaign, wholesale, press, and concession launches. The role will primarily involve overseeing milestone delivery, coordinating shoot preparation, and ensuring all e‑commerce imagery and creative assets are delivered to deadline.
The ideal candidate will be a confident communicator with a personable and collaborative approach. This role requires an adaptable, hands‑on attitude, with a willingness to support the wider team across both coordination and practical operational tasks where required. The role involves managing multiple seasonal workflows simultaneously within a fast‑paced environment where priorities are ever‑changing, requiring a proactive, flexible, and solutions‑focused approach. This role will report to the Head of Graphics and will work closely with the Head of Graphics, Graphics Assistant, Retouchers, Ecommerce, Marketing teams, and external studios. This is a hybrid role which will involve attendance at the office in Fernhurst at least four days per week.
Key Responsibilities
- Manage and maintain the seasonal graphics workflow and critical path
- Oversee communication with internal and external stakeholders across key projects
- Continuously monitor and track progress across all seasonal graphics deliverables
- Identify risks, delays, or resourcing challenges, escalating where appropriate to the Head of Graphics
- Support product management, sample tracking, and logistics where required
- Coordinate seasonal e‑commerce and campaign shoots, supporting all elements of shoot preparation where appropriate
- Manage image delivery timelines across e‑commerce, concessions, wholesale, and press
- Communicate internal graphics deadlines and seasonal priorities clearly to the wider team
- Support imagery review, amends, approvals, and launch QA checks
- Act as a key point of contact between Graphics and wider business teams
- Maintain calendars, launch schedules, milestone trackers, and workflow documentation
- Support stock takes and seasonal sample returns post‑launch
- Provide wider operational support to the Graphics team where required
Essential Skills & Experience
- Previous experience in project coordination or creative operations
- Strong organisational and time management skills
- Experience managing multiple deadlines and concurrent workstreams
- Excellent communication and stakeholder management skills
- Strong attention to detail and commitment to maintaining high standards
- Confident using Microsoft Excel and Windows‑based systems
- Experience using project management tools such as Trello or Monday.com
- Willingness to learn graphics tools
- Strong file management and organisational skills

- Experience working within fashion, luxury, retail, e‑commerce, or creative industries
- Understanding of seasonal launch calendars and critical path management
