About the Role

Aspect Housing & Support Ltd is looking for a confident, organised and proactive Office Manager to oversee the day-to-day operations of our Maintenance Department, supporting and managing a workforce of approximately 20–25 Maintenance Workers.

This is primarily an office-based management position, with responsibility for coordinating maintenance operations, managing staff performance, monitoring workloads, conducting audits, controlling costs and producing management reports.

Maintenance or property experience is desirable but not essential. We welcome applications from experienced managers who can demonstrate strong transferable skills in people management, operational coordination, performance monitoring and administration.

Key Responsibilities

  • Lead, supervise and support a team of approximately 20–25 Maintenance Workers
  • Allocate daily workloads and monitor repairs, inspections and planned works
  • Monitor employee performance, productivity, attendance and completion of work
  • Coordinate maintenance activities across the organisation's property portfolio
  • Track outstanding repairs, delays, repeat works and recurring maintenance issues
  • Carry out regular audits of completed and outstanding maintenance works
  • Coordinate preventative maintenance schedules and property inspections
  • Support compliance with health & safety, fire safety and relevant property requirements
  • Monitor maintenance stock, materials, tools and equipment
  • Monitor departmental budgets, expenditure and operational costs
  • Review contractor invoices, quotations and supplier costs
  • Liaise effectively with contractors, suppliers, management and internal departments
  • Maintain accurate maintenance, operational and compliance records
  • Use Microsoft Excel to maintain trackers, analyse data and create operational logs
  • Produce management reports covering repairs, staff productivity, stock usage, expenditure and departmental performance
  • Identify areas for improvement through audits and inspections and present recommendations to senior management

About You

We are particularly interested in candidates who can demonstrate:

Essential

  • Previous experience managing or supervising an operational team
  • Strong leadership and people-management skills
  • Confidence managing a workforce of approximately 20–25 employees
  • Excellent organisational and workload-management skills
  • Strong administrative, auditing and reporting capabilities
  • Experience monitoring budgets, costs, stock or resources
  • Strong working knowledge of Microsoft Excel and Outlook
  • Ability to analyse operational information and produce clear management reports
  • Excellent written and verbal communication skills
  • Strong problem-solving and decision-making abilities
  • Ability to work effectively in a fast-paced operational environment

Desirable

  • Previous experience within maintenance, property, housing or facilities management
  • Knowledge of property compliance and health & safety
  • Experience managing contractors and suppliers
  • Full UK driving licence and access to a vehicle

Transferable management experience welcomed

You do not need to come from a trade or maintenance background to be considered.
