Reporting to the Production Operations Manager, you will be responsible for a range of administrative tasks across resourcing, purchasing and operational support. The role requires building strong working relationships with the wider Operations team and key departmental stakeholders.
What you'll be doing:
- Use Freelance management systems to issue booking confirmations, process job setups and process and approve timesheets for Freelancers.
- Collaborate with the wider Operations team to extract accurate booking information for freelancers, escalating issues as required.
- Manage non-Studio Team freelance bookings, ensuring teams are informed of unfulfilled requests.
- Raise purchase orders, arrange bank transfers and manage credit card purchases for necessary Creative Studios teams, communicating and resolving any related queries.
- Handle all purchasing and procurement admin queries for the Creative Studios.
- Process, verify and reconcile supplier and model agency invoices.
- Liaise with suppliers to resolve queries regarding shipments, Purchase Orders or payments.
- Support the efficient sourcing and booking of freelance talent.
- Build and maintain relationships with key departmental stakeholders to facilitate payment processes.
- Coordinate and manage the setup of new suppliers across the department.
- Manage team credit card expenses in line with the budget and phasing document.
- Maintain and update expenditure trackers in line with monthly budgets.
- Monitor data quality from all relevant sources and elevate issues to the Senior Operations Coordinator and/or Production Operations Manager when necessary.

Qualifications:
- Demonstrates excellent attention to detail and strong organisational skills.
- Good working knowledge of MS Word, Outlook, Excel and Teams with keen interest in developing themselves.
- Able to multitask effectively, organising and prioritising daily responsibilities with confidence.
