Ashton Recruitment is delighted to be recruiting on behalf of our public sector client for an Administration Assistant to join their busy Human Resources team.

Department: Human Resources

Contract: Temporary contract until 31 March 2027, may be extended

Pay Rate: Scale 4, £14.12 per hour

Location: Craigavon Civic Centre

Hours of work: Monday - Friday, 37 hours per week

This is an excellent opportunity for an experienced administrator who enjoys working in a fast-paced environment, providing first-class customer service and supporting the day-to-day operation of a busy Human Resources department.

The Role

As an Administration Assistant, you will provide comprehensive administrative support across the Human Resources function, playing a key role in recruitment, onboarding and employee administration. You will work closely with HR colleagues, managers and applicants, ensuring HR processes are delivered efficiently while maintaining the highest levels of confidentiality and customer service.

Key Responsibilities

  • Provide administrative support throughout the recruitment and selection process.
  • Prepare recruitment documentation, interview packs and correspondence.
  • Arrange interviews, including room bookings and interview logistics.
  • Act as the first point of contact for HR enquiries from applicants and employees.
  • Carry out pre-employment administration, including processing AccessNI checks and verifying documentation.
  • Prepare induction packs and new starter documentation.
  • Liaise with Payroll regarding new starters, leavers and contract changes.
  • Maintain accurate electronic and manual personnel records in line with GDPR requirements.
  • Calculate annual leave entitlements and maintain employee records.
  • Process purchase orders, invoices and departmental accounts.
  • Coordinate work experience placements and assist with recruitment events where required.
  • Provide general administrative support including filing, word processing, photocopying and handling incoming correspondence.

What We're Looking For

The successful candidate will have:

  • A minimum of 5 GCSEs (or equivalent) including English and Mathematics.
  • At least 1 year's administration experience in a busy office environment.
  • Previous customer service experience dealing with members of the public.
  • Strong Microsoft Word and Excel skills.
  • Excellent organisational and communication skills.
  • The ability to prioritise a varied workload and work using your own initiative.
  • A professional approach when handling confidential and sensitive information.

Desirable:

  • Previous experience within a Human Resources or Recruitment environment.
  • Experience processing employee records, payroll documentation or recruitment administration.
  • Knowledge of GDPR and handling confidential information.
