Job Description
What you’ll do.
We are looking for a full-time Administration Assistant to join our Exeter office on a permanent basis.
As an Administration Assistant, you will support the firm’s client onboarding team by making sure new clients and matters are set up correctly and efficiently. You will carry out checks to ensure there are no conflicts with taking on new clients and carry out ID and background checks for both individuals and organisations. This will include verifying documents, checking for sanctions or negative media, and spotting any missing or inconsistent information. You will guide colleagues on what evidence is needed to complete these checks and review any additional information provided.
You will keep internal records accurate and up to date, and work closely with colleagues across the firm by phone, video call, or in person to provide support and clarification when needed. You will also assist with administrative tasks for the compliance team and help with other compliance projects as required.
You will manage your workload effectively, prioritising tasks and working to deadlines. Your work will help the firm meet regulatory requirements, including guidance on anti-money laundering matters such as Source of Funds and Source of Wealth. Overall, your role will support smooth onboarding processes and help colleagues provide an excellent experience for our clients.

You will be someone who brings strong attention to detail and a confident, professional approach to your work. You communicate clearly with colleagues at all levels and remain calm, organised and focused when handling multiple demands. A collaborative approach is important, as is the flexibility to support the team as priorities evolve. You’ll demonstrate solid organisational and analytical abilities, a friendly and approachable manner, and confidence using MS Office and general IT systems.
Although previous experience in client onboarding or a professional office environment is beneficial, it is not essential, and we welcome applications from individuals who are new to professional services. Above all, we are looking for someone who is motivated, eager to learn and capable of managing a varied workload with accuracy and professionalism.
