An exciting opportunity has arisen for a Clinical Office Administrator to join the Ear, Nose and Throat Clinical Office at Ashford Hospital.

This is a 30-hour role providing clerical support within the main clinical office. The successful candidate should possess a high level of organisational skills and excellent communication abilities with healthcare professionals, patients, and their relatives.

The role involves organizing timetables, managing clinic capacity, and overseeing outpatient waiting lists for both new and follow-up patients. Computer skills are essential; training on hospital administration systems will be provided.

Main Responsibilities:

  1. Provide clerical support to the ENT Divisional Clinical Office.
  2. Support Clinical Office Administrative Co-ordinators.
  3. Manage patient clinic reports, ensuring they are sent to GPs and filed appropriately.
  4. Assist with downloading, proofreading, and sending clinic letters using the DIT3 transcription service.
  5. Pass clinical outcomes to the relevant coordinators for action.
  6. Perform general office duties such as filing, photocopying, and ordering supplies.
  7. Prioritize and distribute incoming post effectively.
  8. Exercise independent judgment to resolve problems or escalate as needed.
  9. Implement relevant Trust and Directorate policies.
  10. Use Cerner system competently after training.
  11. Maintain effective communication within the Trust and with external stakeholders.
  12. Retrieve medical records and investigation results as needed.
  13. Handle enquiries from patients, GPs, hospitals, and Consultants.
  14. Support workload management, team training, and introduction of new technology.
  15. Update knowledge through self-development and mandatory training.
  16. Assist with investigations and responses to complaints when required.
  17. Maintain a reassuring manner when dealing with patients and relatives.
  18. Perform any other duties relevant to the role.
