At Ashfield MedComms, a division of Inizio, we help major pharmaceutical companies with the publication and presentation of key research projects at international medical journals and congresses.
As a Database/Publications Coordinator you will be an integral part of the publications team, tracking the review process for developing medical publications. You will track timelines and author comments through a publication review database, called Datavision, and Excel spreadsheets. You will maintain these databases and provide accurate and timely updates to meet client and author needs. You will also accurately upload and download information regarding ongoing projects and ensure this is communicated to the relevant contacts. You will work with a team of medical writers and account managers to ensure that the publication process runs smoothly and according to established targets.
Who is the ideal candidate?
As you will be tracking and reporting on others’ work, high levels of attention to detail and excellent word processing skills are a must. We’re looking for a methodical, process-driven individual with strong communication skills who can work well within an established team. You must have the ability to work under your own initiative and the ability to prioritise a varied workload. Previous experience in data administration and a background in healthcare communications/pharmaceuticals would certainly be advantageous, but it is not essential.
• Typical daily tasks for the Database/Publications Co-ordinator:
o Regular contact with client via email and telephone.
o Accurately upload/download information regarding ongoing projects.
o Proactively forward information from the database to relevant members of the editorial team.
o Correctly file information from the database in relevant internal electronic folders.
o Accurately and regularly update relevant publication trackers, providing internal updates where necessary.
o Inform supervisor of any issues relating to the database and work toward resolving the problems in conjunction with other editorial team members.
