The Role: We are looking for a Data Administrator to join our Security Technology team, based from our offices in Rochdale, Greater Manchester. This is a newly created position, reflecting the growth of our technology division and the increasing importance of accurate, well-governed data in how we deliver and report on our services. You will work closely with our Head of Business Change and Transformation, alongside our engineering, operations, and commercial teams, to ensure our operational data is accurate, timely, and meaningful. Job Duties:
- Data Management and Administration
- Maintaining accurate records across our operational systems, client databases, and contract management platforms.
- Inputting, updating, and validating data relating to client sites, technology assets, engineer records, service schedules, and contract terms.
- Conducting regular data audits to identify and resolve inaccuracies, duplications, or gaps in records.
- Managing asset registers across the Security Technology division, including installed equipment, serial numbers, warranty status, and maintenance histories.
- Ensuring documentation is stored, version controlled, and accessible in line with our data governance standards.
- Reporting and Analysis
- Producing regular operational and performance reports for internal stakeholders including the operations, commercial, and leadership teams.
- Compiling data sets to support client reporting requirements, delivered accurately and within agreed timescales.
- Assisting with management information summaries including KPI dashboards, job completion rates, SLA performance, and engineer utilisation metrics.
- Identifying trends or anomalies within data sets and escalating findings with clear commentary to the relevant manager.
- Systems and Process Support
- Acting as a key user of our operational systems, taking ownership of data integrity within those platforms.
- Supporting the rollout of new systems and processes under the direction of the Head of Business Change and Transformation.
- Developing and maintaining process documentation and standard operating procedures to ensure consistency across the team.
- Cross-Functional Collaboration
- Working closely with engineering, operations, and account management teams to ensure data requirements are met promptly.
- Supporting commercial colleagues with supplier records, purchase orders, and contract renewal data where required.
- Contributing to team meetings with updates on data quality, reporting progress, and process improvements.
- Compliance and Governance
- Handling all data in accordance with GDPR obligations and ASEL information security policies.
- Supporting compliance with our Integrated Management System and relevant accreditation frameworks.
- Ensuring sensitive client, personnel, and commercial data is stored and managed appropriately at all times.
What We Are Looking For:
- Essential
- GCSE Mathematics and English at Grade C or above, or equivalent.
- A minimum of one year of experience in a data entry, data administration, or data coordination role within a professional environment.
- Advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP, and data validation; competent across the wider Microsoft 365 suite.
- A demonstrable track record of producing accurate, well-structured work with a consistently low error rate.
- Strong organisational skills with the ability to manage competing priorities and meet deadlines in a fast-paced environment.
- A clear and professional communication style with the ability to engage confidently with colleagues across multiple functions.
- The ability to learn new systems quickly and adapt to changing business requirements.
- Desirable
- A relevant Level 3 qualification in Business Administration, Data Management, or a related discipline.
- Prior experience within a security, facilities management, technology services, or managed services environment.
- Exposure to Power BI, Tableau, or equivalent data visualisation tools.
- Experience supporting operational or commercial teams with data-driven project delivery or performance reporting.
