We are looking for an organised, commercially aware Account Administrator to join our team. This is a varied and important role sitting at the heart of our operations, acting as a key link between our clients, finance function and internal service teams. You will take ownership of a portfolio of large security contracts, ensuring billing is accurate and timely, service levels are met and client relationships are well managed. This role would suit someone who thrives in a fast‑paced environment, takes pride in accuracy and is confident managing multiple priorities at once.

Key Responsibilities

  • Serve as the primary account administrator for a portfolio of large security contracts, ensuring all account activity is managed to agreed SLAs and KPIs.
  • Manage all billing activity including daily invoicing, consolidated invoices, renewals and manual invoicing through job‑costing systems for both service and installation teams.
  • Act as the finance liaison for your accounts, supporting the management of aged debt and ensuring all external monitoring costs are billed accurately and on time.
  • Maintain and manage client portals, ensuring all sites are correctly set up for invoicing and that portals are being used accurately across the business.
  • Oversee internal and client‑facing dashboards, tracking open calls, outstanding actions and service engineer follow‑ups to ensure service levels are consistently met.
  • Liaise with the service team to track and close open calls daily, maintaining accountability for the numbers across your accounts.
  • Manage open purchase orders with the procurement team and maintain accurate, up‑to‑date cash postings and financial records.
  • Produce clear, timely reporting for senior managers covering service performance, billing status and account health.
  • Support the sales team in the smooth onboarding and ongoing administration of new contract wins.
  • Develop strong, long‑term working relationships with both internal teams and external clients, representing ASEL professionally at all times.
  • Assist with customer meetings and provide administrative support for service‑related queries as required.

Skills and Experience

  • Proven experience in an account administration, sales administration or client‑facing office role.
  • Strong IT skills including Microsoft Word and Excel; experience with in‑house or bespoke systems is advantageous.
  • Excellent attention to detail with a disciplined approach to accuracy in billing, reporting and data management.
  • Strong organisational skills with the ability to prioritise effectively and manage a varied workload under pressure.
  • A confident communicator, both written and verbal, with the ability to build relationships across all levels of the business and with external clients.
  • Comfortable working to strict deadlines in a busy office environment.
  • Experience in the electronic fire and security industry is beneficial but not essential; full training will be provided.
  • Experience of project administration or managing multiple concurrent contract accounts is desirable.
