Job Purpose
The primary responsibility is to oversee the Consortia Underwriting Operations team to deliver centralised operational support to Underwriting teams by ensuring administrative tasks are completed efficiently, accurately and within defined timelines throughout the policy lifecycle.
Detailed Duties
- Underwriting Support: Oversee the day-to-day operations of the Consortia Underwriting Operations team. Provide technical oversight of all operational processes and develop the Consortia Operations Analysts through training and mentoring. Liaise with lead underwriters to identify where the Consortia Operations team can provide centralised support to assist underwriting teams. Monitor consortia underwriting teams adherence to internal service level agreements, identify any training requirements for any breaches of service level agreements and represent the Consortia underwriting teams on the Workflow Management Group. Monitoring of aged debt for consortia teams and escalating any issues to consortia lead underwriters and the Director of Underwriting Performance and Operations. Maintain up-to-date procedure documentation for the operations team. Assist the Director of Underwriting Performance and Operations in setting up new underwriting teams. Provide cover for the Consortia Operations Analyst when they are out of the office.
- Consortia Data: Management of the Consortia Data processes which includes: Ensure Consortia Operations team are entering, maintaining and data quality of data pertinent to Consortia contracts required for internal and external reporting. Ensure Consortia commission and brokerage signings received and recorded correctly against the correct Consortium stamp with the correct qualifying category. Work with the Director of Underwriting Performance and Operations to identify data requirements of new consortia teams and to ensure they are captured within the consortia data mart and available for reporting.
- Bordereaux: Management of the consortia bordereaux process which includes: Ensure Consortia bordereaux are produced by the Consortia Operations team within agreed service level agreements. Quality check Consortia bordereaux before they are circulated to underwriting teams and Consortia brokers. First point of contact for broker queries on bordereaux. Create bordereaux template for any new consortia underwriting teams and ensure new bordereaux are included in the monthly bordereaux production process.
- Consortia Commissions: Management of the consortia commission process which includes: Review quarterly commissions receivable and outwards brokerage payable calculations for all Consortia agreements. Review debit notes for Consortia commissions receivable before they are distributed to brokers. Ensure debit notes are produced and circulated within agreed service level agreements. Monitor commission receipts into Syndicate 1414 and AUL bank accounts. Monitor credit control on overdue quarterly commissions and annual profit commissions. Create debit note templates for new consortia underwriting teams and ensure new debit notes are included in the quarterly production process. Assist the Director of Underwriting Performance and Operations in providing reports to Ascot’s Finance team to enable them to complete their month end close process and to notify them of any payment requests to group companies and/or to external parties (as required).
- Other: Report service level agreement statistics of the Consortia Operations team to the Director of Underwriting Performance and Operations for inclusion within the monthly Operations Committee pack. Assist the Director of Underwriting Performance and Operations with any operational, reporting, and other responsibilities as required. Participate in internal and market wide continuous improvement projects.
Experience
Experience of risk data entry in an insurance company. Experience of managing a data entry team preferable. Knowledge of insurance policy administration systems.
Skills / Attributes
Ability to work independently and in a team. Attention to detail and the ability to work to deadlines. Identifying and resolving data discrepancies before entry into system(s). Excellent written and verbal communication skills.
