Core Hours M-F 9am - 5pm (35 hrs/wk)

POSITION SUMMARY AND CANDIDATE PROFILE

Supporting a team of advisors and reporting directly to the Financial Planning Team Leader, the position is responsible for managing effective administrative support and processing for the team. As a financially regulated company, it is important colleagues ensure there is accurate adherence to policies, procedures and regulatory responsibilities. This role will include building good relationships with clients, internal departments and external stakeholders.

RESPONSIBILITIES

A generalist role to support the Managing Director in managing and delivering the administrative support required

Responsible for:-

  • Screening Leads: from information provided and by talking to clients and their accountants then direct them as appropriate while making the client feel looked after.
  • Processing applications: pensions and platforms product processing including researching products to support advisors.
  • Administration: Advanced level of organisation skills to prioritise and manage daily tasks and meet exacting deadlines with a high degree of accuracy.

Support to the Sales Team Leader on strategic projects: eg, development of systems and processes and ensuring best practice standards; as required.

  • Line Management: Responsible for the management and development of the Advisor Support Coordinator.
  • Any other duties, as directed by the Sales Team Leader, for which you are capable and qualified.

PERSON SPECIFICATION & SKILLS REQUIREMENTS

Essential experience and skills required:

  • Level 4 qualified or highly motivated to attain within 6 months.
  • Similar experience working as at paraplanner level in a financial services support role in a dynamic and compliance focussed organisation with demonstrated supervisory experience.
  • High degree of IT literacy with proven working knowledge of CRM systems [Finova], able to produce management information and other reporting including financial reports in relation to commission, case progress reports, etc.
  • Understanding of current legislation and policy and processes.
  • Strong technical knowledge and experience of pension, investment and life assurance products including their benefits and taxation and transfer processes.
  • Experience/knowledge of compliance and management of [example… ] is preferred.
  • Confident communicator with strong skills both verbal and written. Skilled and empathetic listener able to understand needs and concerns of advisors, clients and 3rd parties across all communication channels. Able to build trust and rapport and resolve queries by applying tone and appropriate language to deliver range of verbal and written communications
  • Excellent administration skills. Well organised with a keen eye for detail and accuracy. Proficient in Office 365 and [Finova], (or other databases).
  • Advanced problem solving skills and mindset with flexibility to move between different tasks at short notice with ability to remain calm and to share information in a clear and logical manner
  • Can demonstrate creative and positive attitude to problem solving, enjoys change and challenge. The Group and the FinServ environment is constantly evolving so must be adaptable.
  • Ability and confidence to work on own initiative. Able to prioritise a busy and varied workload and to work quickly and accurately and to manage own deadlines.
  • Excellent team player and enjoys working in a busy and diverse service environment and being part of a dynamic and growing team.
