ASA Medical Group is a GP surgery based in the East of Doncaster across three sites; Armthorpe Practice, Sandringham Practice located in Intake and Auckley Practice. ASA Medical Group has a registered patient list of 20,000. Due to a re-organisational structure, we are excited at the prospect of recruiting a number of reception staff. The practice can accommodate either full time or part time receptionists. Hours will be discussed at interview stage. Some flexibility is required to cover annual leave, staff absence or practice meetings.

We are looking for someone who has the desire to learn, can work under pressure and has excellent organisational and time management skills. Furthermore, applicants must have experience in customer service or customer facing roles with exceptional telephone etiquette. Applicants must undertake all NHS mandatory training if successful and ideally must hold a full UK driving license as the role could involve moving between three sites to cover absence and/or annual leave but this is not essential.

Main duties of the job:

  • Booking patient appointments into the clinical system; choosing the right care at the right time over the phone and at the front desk of reception.
  • Rearranging appointments when necessary.
  • Responding in a timely manner to telephone calls and patients using our online services.
  • Directing patients to external organisations when required for their care needs.
  • Completing tasks within the clinical systems related to patient care.

Job responsibilities:

  • Understanding and using the practice appointment system effectively.
  • Processing telephone queries and booking appointments adhering to KPIs.
  • Booking appointments to the remote access/care navigation appointments as first line.
  • Booking appointments using the practice clinical competency framework lists.
  • Booking appointments using resources effectively.
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately.
  • Answering the emergency telephone line as a priority.
  • Initiating contact with and responding to requests from patients, team members and external agencies.
  • Photocopy documentation as required.
  • Input data into the patients healthcare records as necessary leaving a note to records for colleagues to follow.
  • Direct requests for information i.e. SAR, insurance/solicitors letters and DVLA forms to the administrative governance team and document the financial information.
  • Open the internal post from the blue bag, date stamp and pass to the correct team to deal with the correspondence.
  • Open external post, date stamp and direct to the correct person to deal with the correspondence.
  • Process post leaving the practice, put a stamp on, add to the postal spreadsheet and take to the post box.
  • Maintain a clean, tidy, effective working area at all times.
  • Monitor and maintain the reception area and notice boards, keeping all communications up to date.
  • Support all clinical staff with general tasks as requested.
  • Ensure mandatory training is kept up to date.
  • Ensure attendance at the target sessions.
  • Ensure the correct process for patient RIP are followed.
  • Ensure practice policies are kept up to date and always adhered to.
  • Complete opening and closing procedures of the practice.
  • Ensure all name plates are changed daily for the next working day to reflect the correct clinician working in that room.
  • Action the practice email accounts daily.
  • Follow up on tasks on the clinical system daily.
  • Report to management inappropriate tasks, emails, behaviour to enable improvement strategies.
  • Ensure compliance with all NHS contracts, CQC standards and PCN initiatives.

Experience:

  • Experience of working with general public.
  • Have some understanding of Confidentiality.

  • Experience of working in primary care.

Qualifications:

  • GCSE grade A to C in English and Maths.
  • Experience of working with the general public.

  • Ability to work as part of a team or autonomously.
  • Ability to follow policy and procedures.
  • Experience of working in a Health Care Setting.
