The Opportunity
We have an exciting opportunity for a Senior Bid Coordinator – 12 month contract to support our PS&I (Property, Science, Industry & Technology, and Social Infrastructure) Portfolio in developing winning bids, particularly for opportunities working alongside an architect.
Is the role right for you?
As a Senior Bid Coordinator, you'll play a key role in managing bids across one or more business sectors in the UKIMEA region, ensuring high‑quality, competitive proposals are delivered. You'll collaborate with bid teams and external partners, supporting best practices and contributing to Arup’s 12‑Step work‑winning process and following APMP best practice for bidding.
Key Deliverables In This Role
- Manage and coordinate the full bid process from start to finish of the bid lifecycle, including development of the bid programme, facilitating win strategy sessions, answer planning sessions and gateway review sessions, through to submission and post‑bid lessons learned feedback sessions.
- Ongoing management and monitoring of bid progress, bid programmes and bid deliverables, tracking and liaising with key stakeholders and the bid team as required.
- Draft and regularly edit and review responses to non‑technical questions, case studies and CVs.
- Identify relevant case studies, CVs, templates and past bid submissions that will support bid teams to develop high‑quality responses.
- Contribute to and maintain libraries of bid materials and project collateral.
- Act as a bridge connecting the UKIMEA Business Development team to one or more business sectors, attending meetings, building relationships with key stakeholders and developing knowledge of that sector’s clients, markets and opportunities.
Requirements – Key qualities we are looking for in candidates include:
- Competitive drive, dedication to achieving challenging deadlines and strong time management skills.
- Exceptional attention to detail.
- Experience of bid coordination and bid writing, possibly within the UK Business sector or a professional services context.
- Understanding or awareness of bid governance processes.
- Familiarity and/or membership with APMP.
- Ability to identify and communicate work‑winning priorities and strategies.
- Ability to receive large volumes of information and understand, plan and manage associated workflows, and brief stakeholders as required.
- Experience of working collaboratively within bid teams and with others under pressure.
- A personable, collaborative and resilient approach.
- Ability to draw out and communicate ideas effectively and creatively and a willingness to work collaboratively with colleagues to produce impactful, clear and compliant submissions.
