We have an exciting opportunity for a Bid Coordinator to support our PS&I (Property, Science, Industry & Technology, and Social Infrastructure) Portfolio in developing winning bids, particularly for opportunities working alongside an architect.

The Bid Coordinator effectively supports the pre‑qualification and bid production process from start to finish, contributing to the drafting and editing of bid responses and collateral, and supporting the submission of high‑quality proposals.

As a Senior Bid Coordinator, you'll play a key role in managing bids across one or more business sectors in the UKIMEA region, ensuring high‑quality, competitive proposals are delivered. You'll collaborate with bid teams and external partners, supporting best practices and contributing to Arup’s 12‑Step work‑winning process and following APMP’s best practice for bidding.

Key Deliverables in This Role:
  • Work with a Bid Manager and/or Proposal Lead to support the full bid process from start to finish of the bid lifecycle, including bid programme management, win strategy sessions, answer planning, gateway reviews, submission, and post‑bid lessons learned.
  • Continuously manage and monitor bid progress, programmes and deliverables, tracking and liaising with key stakeholders and the bid team as required.
  • Draft, edit and review responses to non‑technical questions, including case studies; contribute to and maintain libraries of bid materials and project collateral.
  • Identify, gather or create case studies, CVs, templates, org charts, and research as needed.
  • Act as a bridge connecting the UKIMEA Business Development team to one or more business sectors—attend meetings, build relationships with key stakeholders, and develop knowledge of that sector’s clients, markets and opportunities.
Qualifications and Experience:
  • Competitive drive, dedication to achieving challenging deadlines and strong time‑management skills with exceptional attention to detail.
  • Experience of bid coordination and bid writing, possibly within the UK business sector or a professional services context.
  • An understanding or awareness of bid governance processes.
  • Familiarity and/or membership with APMP (Association of Proposal Management Professionals).
  • Ability to identify and communicate work‑winning priorities and strategies.
  • Ability to receive large volumes of information, understand, plan and manage associated workflows, and brief stakeholders as required.
  • Experience of working collaboratively within bid teams and with others under pressure.
  • A personable, collaborative, and resilient approach.
  • An ability to draw out and communicate ideas effectively and creatively and a willingness to work collaboratively with colleagues to produce impactful, clear, and compliant submissions.
