On behalf of Arup, we are looking for a Workplace Experience Assistant, for an initial 6 month contract based in Leeds.

Purpose of the role

We’re looking for a Workplace Experience Assistant to provide a professional and welcoming front of house service within Arup's Leeds office. This is a customer-facing role where you’ll ensure visitors, clients and colleagues receive an excellent first impression while supporting the smooth day-to-day running of reception and workplace operations. This is a full-time, on-site opportunity with the potential to become permanent after the initial six-month contract.

What you’ll do
  • Welcome visitors, clients and colleagues in a friendly and professional manner.
  • Manage the reception area, ensuring it is organised, presentable and well maintained.
  • Handle incoming calls, emails and general front of house enquiries.
  • Support workplace administration and day-to-day office operations.
  • Coordinate visitor sign-in procedures and maintain accurate records.
  • Provide administrative support to the wider team as required.
  • Ensure meeting rooms and shared spaces are prepared and ready for use.
  • Deliver excellent customer service while maintaining a positive and professional environment.
  • Assist with general workplace and facilities-related tasks to support the smooth running of the office.
The Skills you’ll need
  • Previous experience in a reception, front of house, workplace experience or administrative role.
  • Excellent communication and interpersonal skills.
  • A professional, approachable and customer-focused manner.
  • Strong organisational skills with the ability to prioritise a varied workload.
  • Confidence using Microsoft Office and general IT systems.
  • High attention to detail and the ability to work accurately.
  • A proactive approach with the ability to work independently and as part of a team.
  • Reliable, flexible and able to work on site Monday to Friday, 8:30am to 5:00pm.
  • A positive attitude and commitment to delivering an outstanding workplace experience.
