On behalf of Arup, we are looking for a Document Controller for a 6 month contract based in London or Newcastle (hybrid).
Role Responsibilities:
- Follow project guidelines with ease to log in, record and upload deliverables
- Registers; Logs and Tracks TQs & RFIs using project processes
- Maintain project specific guidance notes and records
- Keep up to date with policy, procedure and seek advice with problems
- Record and submit time spent on projects
- Plan own workload
- Access guidance on standards for collaboration
- Identify issues and deal with them independently or escalate where appropriate
- Attend and contribute to local Document Control team meetings
- May attend project meetings
- Tracking; reporting and chasing time sensitive deliverables
- Support and provide cover for others in your discipline and location
- Professionally communicate with relevant individuals as requested by the business
- Identify processes within the role which could be improved
- Obtain compliant drawing / document numbers
- Verifying and quality checking documentation prior to issue
- Uploading and downloading incoming and outgoing correspondence from multiple Extranet Sites
- Experience in handling large scale document control submissions, working to tight milestone deadlines
Essential Skills and Knowledge:
- Able to work collaboratively across a remote team
- Good knowledge of multiple extranet sites
- Understand the basic principles behind workload planning and its relevance
- Be open to new ways of working
- Good knowledge of document control systems
- Works accurately, quickly, and independently
- Approach work with a problem-solving attitude, but knows when to escalate
- Understanding of the importance of accurate and correctly stored data
- Interested to develop knowledge and know when to ask for help
- Willingness to learn from others
- Good knowledge of Microsoft packages
- Interested in new digital tools and methods
- Experience of high-volume accurate data entry
