On Behalf of Arup, we are looking for a Team Coordinator for a 6 month contract based in Cardiff. Hybrid, with 3 days per week required on-site. Purpose of the role We're looking for an experienced Team Coordinator to join Arup and provide day-to-day coordination and administrative support across the Property Science Industry portfolio. You'll play a key role in keeping the team organised and running effectively, supporting operational and project activity, producing high-quality documents and presentations, coordinating stakeholders and events, and assisting with bids and wider business development activity. What you'll do Coordinate day-to-day team activities, meetings, diaries and schedules. Produce and edit high-quality documents, reports and presentations in line with Arup branding. Proofread and improve written content for clarity, consistency and professional presentation. Support bids, PQQs and work-winning activity, including preparing CVs and project sheets. Support project teams with administrative and operational requirements. Coordinate holidays, absences, wellbeing requirements and team records. Support new starters through onboarding and induction. Organise internal social events and client events. Create and maintain trackers, including training records. Book meeting rooms and coordinate audiovisual equipment, refreshments and other meeting requirements. Support and communicate with multiple stakeholders across the wider business.The Skills you'll need Strong experience within a Team Coordinator, Executive Assistant, Project Coordinator, Office Coordinator or similar administrative role. Excellent Microsoft 365 skills, particularly PowerPoint, Excel, Teams, SharePoint and ideally Copilot. Strong PowerPoint and document-production skills, with the ability to create professional, client-facing materials. Strong organisation and time-management skills with the ability to manage multiple priorities. Experience coordinating meetings, diaries, stakeholders and team activities. Experience supporting bids, PQQs or business development activity would be advantageous. Previous experience within professional services, consultancy, engineering, architecture or a similar environment would be beneficial.
