Vladimira is an independent singer, poet, bandleader, composer, producer, actress, director, dancer, choreographer, and visual artist based in London, United Kingdom.
Currently reestablishing herself after a hiatus, Vladimira is scaling both her creative outputs and corporate ventures. Most of her life, she has handled all business and creative operations herself. To support this exciting next chapter of expansion, she is stepping back from daily administrative tasks to focus entirely on creativity and leadership. She seeks a highly flexible, fiercely independent, and high-stamina Personal & Executive Assistant (PA/EA) to serve as her organisational anchor, communicational lead, and trusted right hand.
THE ROLE & APPROACH
Part-time (with potential to scale to full-time or 24/7).
This is a unique, fast-paced, and highly demanding role at the intersection of high-level, sophisticated entertainment and highly original creative entrepreneurship. You will manage a complex, rapidly shifting environment. Sometimes nothing is happening; sometimes everything happens at once. You must be ready for both - and all.
The Golden Rule
Protect Vladimira's creative state. Never interrupt writing, rehearsal, or deep focus. Cluster all admin into defined windows. Default to handling things independently - escalate only what is truly necessary.
Our Working Philosophy
- The Onboarding Phase: In the beginning, you are encouraged to ask questions about everything, at any time (unless Vladimira is strictly unavailable).
- Industry Reality: Entertainment is intense. You could sometimes deal with overworked, overwhelmed, or unbalanced people who may be nervous, cranky, or provide wrong information. You must always double-verify everything to ensure accuracy.
- Professional Distance: We are always friendly but maintain strict professional boundaries. You must not accept personal invitations (e.g., for coffee) from industry contacts without Vladimira's knowledge.
- Focus & Boundaries: If you receive strange or unprofessional information, gently redirect the contact back to business and report it immediately to Vladimira.
- Mutual Respect: We treat everyone - regardless of wealth or status - with high respect, and we expect the exact same in return.
- Evolution: This list is not exhaustive. You will handle other related tasks as agreed upon to support the company's growth.
CORE RESPONSIBILITIES
1. Diary & Time Management
- Creative Scheduling: Coordinate all studio sessions, rehearsals, filming, writing blocks, and meetings with collaborators, agents, labels, and venues.
- Travel Logistics: Plan intricate travel for gigs, residencies, and shoots. You will occasionally travel with Vladimira to manage logistics on the road.
2. Communications & High-Profile Filtering
- Gatekeeping: Screen emails and calls, flagging only what requires direct input. Draft replies, briefs, and call sheets for the team.
- Industry Liaison: Coordinate with venues, producers, session musicians, cast members, and press.
- Immaculate Presentation: You will routinely deal with A-list artists and prominent individuals. Excellent, sophisticated behaviour, concise speech, and immaculate personal presentation (clothes, makeup, hair) in person and on video calls is non-negotiable.
3. Project, Production & Release Admin
- Tracking Deliverables: Manage deadlines, release schedules, and assets across music, acting, directing, choreography, and visual arts.
- Asset Organisation: Maintain digital files, including audio, video, scripts, scores, and visuals.
4. Bookings, Gigs & Commissions
- Junior Agent Support: Vet incoming offers, handle contracts, riders, and fee negotiations (under Vladimira's steer). Confirm sound checks and running orders.
- Rights Tracking: Log sync, publishing, and performance rights. Proactively pitch Vladimira for new opportunities and build promoter relationships.
5. Event Planning & PR Presence
- Event Coordination: Organise album launches, premieres, private showcases, and networking events (sourcing venues, catering, AV, and guest lists).
- Publicity Assets: Maintain Vladimira's EPK, bio, headshots, showreel, and website. Schedule social media content around releases.
6. Research, Personal & Life Admin
- Market Insight: Research industry trends, audiences, potential collaborators, and creative inspiration.
- Lifestyle Support: Book health/wellness appointments (voice, physio, general), manage household maintenance/tradespeople, handle dry-cleaning, packing, and gifting.

- You will have direct access to private creative work, financials, personal health information, and high-profile contacts.
- Strict confidentiality is essential. You must never discuss Vladimira's personal or business affairs with anyone—including friends and family—without explicit permission.
Communication Style & Response Times
- Primary Channels: WhatsApp, email, and phone calls.
- Urgent Matters: Acknowledge receipt ASAP and confirm a follow-up timeline.
- Non-Urgent Matters: Respond within 5 working days.
- Hours: Flexible around Vladimira's schedule. Weekly/monthly plans will be set, but you must adapt to changes. Daily check-in times will be agreed upon dynamically.
Key Traits

COMPENSATION, PROGRESSION & CONDITIONS
Starting Position (Part-Time)
- Hourly Rate: £13.50 – £18.00 per hour (dependent on your current level of experience, skill set, and agreed responsibilities).
- Initial Hours: 17.5 hours per week (approx. 3.5 hours per day).
- Employment Status: Hired as an employee (work-related expenses will be discussed and pre-approved).
- Trial Period: 3-month trial period to assess mutual fit.
The Progression Path
We are looking for someone to grow with the company. As your performance, trust, and level of responsibility expand, your role and compensation scale dramatically alongside our growth:
- Full-Time Transition: Potential to scale to 35–40 hours/week at £18.00 – £22.00 per hour.
- Senior PA / Manager Level: Potential to advance to 40–50 hours/week at £25.00 – £35.00 per hour.
- Elite 24/7 Executive Level: For the ultimate on-call right hand, compensation scales to £40.00 – £60.00+ per hour (typically includes covered travel, accommodation, and full expenses when on the road).
