Gallery Administrator (Stock, Exhibitions & Online Shop)
Job Summary: New Ashgate Gallery is an independent charity that has supported craft and fine art since 1959. Based in the heart of Farnham, England’s World Craft Town, we present a year-round programme of exhibitions, craft collections, community workshops and events.
Job Description: 2 days per week + up to 12 additional installation and photography support days per year
£13.45 per hour (Real Living Wage) Permanent | Farnham
The Gallery Administrator supports the smooth running of New Ashgate Gallery, with particular responsibility for stock administration, gallery systems and the online shop. You will maintain accurate records for artworks and makers, process incoming and outgoing stock, update prices and availability, prepare stock and sales information, and ensure records are kept accurate and up to date. You will manage day-to-day updates to the online shop, including uploading new work, images, prices and product information, checking listings and removing or updating sold and returned work. You will help keep information consistent between the gallery’s physical stock, database and website.
The role also provides practical administrative support for exhibitions. This includes preparing artwork and stock lists, labels and paperwork; coordinating information and images from artists; helping with exhibition changeovers; and supporting photography and installation on scheduled additional days during the year.
You will respond to routine artist and customer enquiries, maintain organised digital and paper records, and provide general administrative support to the Director and gallery team. As New Ashgate is a small charity, everyone contributes when needed, so the role will also include occasional front-of-house and sales support and other reasonable tasks connected with the effective running of the gallery.
This is primarily an operational and administrative role rather than a curatorial position. It would suit someone who enjoys accurate, detailed work and takes satisfaction in keeping systems, stock and information organised.
Job Requirements
The Gallery Administrator supports the smooth day-to-day operation of New Ashgate Gallery, with particular responsibility for administration, stock control and the online shop. The role includes maintaining accurate artwork, artist and customer records; processing new stock, sales, returns and artist payments; updating and managing products on the gallery website; preparing paperwork and reports; responding to enquiries; and supporting the wider team with general gallery administration. The postholder will work closely with artists and makers and will help ensure that information, prices, stock records and online listings are accurate and up to date. As part of a small team, the role also includes supporting visitors and sales when required and helping with the practical administration of exhibitions and gallery activity.
Job Responsibilities
We are looking for a highly organised and reliable administrator with excellent attention to detail and confidence working with databases, spreadsheets and digital systems. You should be comfortable managing detailed records, checking information carefully and completing routine administrative tasks accurately and on time. Good written and verbal communication skills are essential, as the role involves regular contact with artists, customers and colleagues. You will need to manage your own workload, prioritise competing tasks and work effectively as part of a small team where everyone contributes to the day-to-day running of the gallery. Experience of administration, stock management, retail, e-commerce or a gallery, museum or arts organisation would be useful, but we are also interested in candidates with strong transferable skills and an interest in contemporary art and craft.
