Our Art Account is a first-of-its-kind digital platform helping 15k+ collectors manage, value, protect and unlock liquidity from their art portfolios. We operate at the intersection of art, finance and technology, combining portfolio management, valuations, advisory, insurance, art-backed lending and trading into one trusted platform for collectors.
We are now looking for an exceptional Admin to help keep Artscapy's transaction engine running smoothly as we continue to scale. This is a highly operational role for someone who is organised, detail-oriented and enjoys bringing structure to complex workflows. You will sit at the centre of our auction and transaction operations, helping ensure a seamless experience for clients while supporting the efficient running of the business.
Your mission: ensure every transaction is executed accurately, efficiently and professionally, from registration through to payment and completion.
What you'll do:
- Prepare and manage contracts, consignment agreements and transaction documentation.
- Coordinate bidder registrations and onboarding.
- Review bidder approvals and supporting documentation.
- Manage client enquiries and operational requests.
- Issue invoices and maintain accurate transaction records.
- Track payment collection and support revenue reporting.
- Coordinate seller payouts and payment reconciliations.
- Liaise with finance, specialists and post-sale teams to ensure transactions progress smoothly.
- Maintain CRM records and operational data accuracy.
- Support internal reporting and process improvement initiatives.
- Help identify operational bottlenecks and implement solutions.
What we're looking for:
- 1-3 years' experience in operations, administration, finance support or a client-facing business environment.
- Exceptional organisation and attention to detail.
- Strong written and verbal communication skills.
- Comfort working with financial information and operational processes.
- Ability to manage multiple projects simultaneously.
- Strong problem-solving skills.
- High level of professionalism and discretion.
- Ability to work independently and take ownership of outcomes.
- Entrepreneurial mindset and willingness to contribute across the business.
