A fantastic opportunity has arisen for individuals with an interest in the arts to gain invaluable experience and to develop a range of skills in one of London's most exciting cultural events. The tenth edition of Photo London takes place at Somerset House between May 14 - 18, 2025. Featuring 100+ of the world's leading galleries, this tenth edition builds on a highly successful ninth edition that saw Photo London establish its position as one of the world's leading art fairs.
We are now seeking to enhance our team through the appointment of an enthusiastic individual with a keen interest in the arts and photography to join the team and work for us on a part-time and temporary basis as VIP assistant until mid May 2025. Successful candidates must be comfortable working within a fast-paced environment and as part of a team. A polite manner, exceptional attention to detail, a dynamic approach to working, and excellent spoken English are essential.
Job Requirements- Good administrative and IT skills and experience using Microsoft Excel
- Experience using and managing CRM databases
- Confident handling and processing large quantities of data
- Ability to communicate with different audiences, including HNWI with discretion
- Previous experience of using MailChimp to prepare and manage newsletters and keep contact mailing lists up to date
- Previous event management experience an advantage
- Knowledge of using WordPress (or equivalent CMS) to create, update and design webpages an advantage
- Excellent command of written and verbal English, European languages an advantage
- Enthusiasm for photography and interest in working in the commercial art world
- Assisting the Head of VIP and the Director with any ad-hoc tasks
- Act as the first point of contact for VIPs and managing the VIP inbox, responding to all received enquiries
- Organising meetings and contacting key people
- Assisting with the VIP Programme development and delivery
- Operating Photo London's database
- Managing the VIP desk during the Fair and line managing the temporary VIP team
- Ensure there are no problems with SH ticketing / VEA teams during the live event
- Oversee exhibitor nominations and VIP request process: checking for duplicates in our CRM, ensuring new contacts are imported and issued invitations
- Monitor exhibitor nominations closely, scheduling reminders when needed to galleries who have not submitted
- Responding to exhibitor queries regarding VIP nominations
