Have you ever thought of a career in administration in the arts or education, supporting everything that goes into the smooth running of an organisation? Would you relish the opportunity to join our small, friendly operations team in a key Front of House role and help provide the administrative support that underpins our courses in acting, dance, and musical theatre? This is a varied and rewarding role, offering insight into all aspects of programme delivery at a dynamic performing arts institution. A particular focus will be tracking alumni destinations, alongside broader administrative tasks. No two days are the same, and you will be a vital part of the team at our campus in the heart of Woking.

Ideally, you'll have a relevant degree/diploma or equivalent experience in business administration. What will set you apart is a proactive attitude, excellent organisational skills, and a systematic approach to tasks. You'll be personable, collaborative, and confident communicating with staff, students, and visitors.

Our classes run from 8.00am-8.15pm, Monday to Saturday during term-time, and the Operations Team provide cover throughout the week. The 37.5 hours-per-week for this full-time post would be spread across our opening hours from Monday to Friday when classes are in session. This typically includes 2 later evenings with a start time of 12noon and a finish time of 8.30pm. There is the potential to offer some flexibility which may suit those balancing work and childcare or caring commitments or simply seeking an alternative working pattern.

Job Requirements:

  • Providing a welcoming and knowledgeable first point-of-contact for all visitors to the site, registering them, ensuring they are directed appropriately and chaperoned where necessary, and ensuring relevant safeguarding checks are adhered to (photocopying passports/ID documents) and liaising with HR and staff as appropriate.
  • Providing a welcoming service to individuals contacting Italia Conti by telephone and e-mail and taking enquiries forward proactively.
  • Maintaining a good knowledge and awareness of all upcoming activities and events across the campus and a good overview of the entire portfolio of courses so as to advise enquirers confidently and to act as an ambassador for the institution and its course offering.
  • Providing practical assistance and taking all steps necessary to ensure the day-to-day smooth running of the campus as a key member of the Operations Team including, but not limited to, taking deliveries, assisting with the requirements of individual Tutors etc.

Job Responsibilities:

  • Assisting the Admissions Coordinator with day-to-day admissions tasks including applications, auditions, and general enquiries and corresponding with prospective students.
  • Maintaining alumni records, tracking destinations and news of alumni successes in the industry and reporting these to the Quality Assurance, fundraising, and marketing teams so that they can be celebrated and promoted across Italia Conti's social media channels.
  • Managing the booking system for all AV equipment for classes and assessments, ensuring that equipment is ready in the studios for the start of classes.
  • Assisting the Deputy Operations Manager & Course Coordinator with the servicing of assessments, in particular with sending student assessment reports and inputting data to meet the requirements of academic partners.
  • Liaising with the Duty Manager and ensuring Fire Marshal lanyards are all allocated at the start of each day.
  • Taking on the receptionist's duties during evacuations.
