A varied administrative and communications role supporting St Martin-in-the-Fields’ Music Team, including choir coordination, event and workshop delivery, content creation, website and social media management, and support for concerts and community projects.

We are seeking a Music Programme Administrator who is passionate about music and keen to develop a career in Arts Management. Working closely with the Head of Music Operations, the postholder will provide essential administrative and operational support to our thriving Music Department. The role offers a broad range of experience across the department, including choir coordination, concert and event administration, workshop and community project support, website and social media activity, and the coordination of day-to-day music activities.

Essential Criteria

  • Excellent organisational skills, strong attention to detail and the ability to manage multiple tasks and deadlines effectively;
  • A proactive and reliable approach, with the ability to take responsibility for tasks and see them through to completion;
  • The ability to remain calm, flexible and confident when responding to last-minute challenges and changing priorities;
  • A strong interest in, and understanding of, classical music;
  • Good working knowledge of Microsoft Office, particularly Word and Excel;
  • Excellent communication and interpersonal skills, with the ability to work effectively with a wide range of people;
  • A collaborative approach to working as part of a busy and varied team.

Job Requirements

  • Experience in administration, coordination or programme support, ideally in music, arts, events, education or community settings.
  • Excellent organisation skills, with the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills, with confidence liaising with colleagues, artists, participants and external contacts.
  • Excellent attention to detail when managing schedules, bookings, records and communications.
  • Good IT skills, including Microsoft Office/Google Workspace, spreadsheets and digital file management; Dropbox and social media experience desirable.
  • Ability to work independently, use initiative and see tasks through to completion.
  • Collaborative, flexible and proactive approach, with a willingness to support the wider Music Team.
  • Interest in choral music and community engagement.
  • Ability to handle sensitive information appropriately and follow safeguarding procedures.
  • Flexibility to support concerts, workshops and choral activities as needed.

Job Responsibilities

  • Support choir scheduling, recruitment, auditions, availability and attendance.
  • Maintain choir and project music folders, records and spreadsheets, and support trips and tours.
  • Coordinate Come and Sing events, including performers, music, bookings, marketing and participant communications.
  • Organise Community Choir and Come and Sing Evensong, including registrations, mailing lists and music distribution.
  • Coordinate two annual children's singing workshops, including advertising, recruitment, safeguarding, parent communications and logistics.
  • Prepare weekly programmes and script outlines for Great Sacred Music and Choral Classics.
  • Maintain Music website pages and manage the Music Instagram, including content creation and scheduling.
  • Maintain digital assets and liaise with the St Martin's Voices Marketing Manager.
  • Support concerts, stage plans, rehearsal and church set-up, team meetings and wider Music administration.
