Job Summary
The Operations Manager is a new, pivotal role in Inspirate’s operational structure, responsible for the smooth day to day running, delivery and compliance of the organisation. Reporting to the CEO, the role keeps Inspirate’s systems, projects and flagship festival running effectively.
Job Description
- Operations: Lead the day to day operational running of Inspirate, ensuring our projects, programmes and outputs are delivered on time.
- Planning & Project Oversight: Maintain an operational overview of timelines across Inspirate's programmes and festival, supporting the Artistic & Programmes Director and Producers who are delivering the projects.
- Festival & Event Oversight: Support the coordination of event operations:
logistics, licences, insurance, health & safety and risk assessments, working with the Festival Producer and the Artistic & Programmes Director. - Marketing Delivery Support: Line manage the Marketing Coordinator, keeping the marketing schedule and delivery on track against the strategy set by the CEO, Artistic & Programmes Director and marketing consultant.
- Systems & Processes: Maintain and improve effective organisational systems and processes - from project management tools to internal workflows that keep the team organised and delivery on track.
- Budgets & Finance Support: Support project budget monitoring and reporting alongside the Finance Director and Finance Administrator
- Contracts & Administration: Oversee high level administration, including artist, supplier and partner contracts, working with project Producers.
- Policies & Compliance: Act as the organisational policy guardian - maintaining, updating and embedding policies, GDPR/data protection, and safeguarding frameworks across the team.
- Safeguarding: Support safeguarding administration and, if appropriate, act as the organisational Safeguarding Lead (training provided).
- Evaluation & KPIs: Maintain robust evaluation, KPI tracking and data systems, including the Arts Council Illuminate framework, feeding into board reporting and impact measurement.
This contract runs from January 2027 - March 2028 for 2 to 3 days per week at £36,000 pro rata.
Job Requirements
- Strong organisational, operational and administrative skills, with the ability to manage multiple projects and priorities to deadline.
- Proven experience in operations, project or delivery management roles within the arts, culture or charity sector.
- Experience coordinating events or festival operations, including logistics, health & safety and risk management.
- Confidence line managing delivery staff such as a Marketing -Coordinator, keeping their work on schedule - marketing expertise is welcome but is not the focus of this operations-led role.
- Understanding of safeguarding, GDPR, and equality, diversity and inclusion policies and practice.
- Experience of maintaining organisational systems, policies and compliance processes.
- Confidence with budgets and financial processes in collaboration with finance colleagues.
- Excellent communication and interpersonal skills, able to work collaboratively and provide steady operational support to senior colleagues.
Job Responsibilities
You will lead day to day operations across our programmes, projects and festival - coordinating event and festival delivery (logistics, licences, insurance, health & safety and risk), maintaining strong systems and processes, and overseeing contracts and high level administration.
You will keep our evaluation and KPI systems robust, support project budgets alongside the finance team, and line manage the Marketing Coordinator. This is an exciting opportunity to help shape a growing, nationally recognised culutral organisation championing contemporary South Asian arts, at a pivotal moment in its development.
