Commercial Lettings Manager

Commercial Lettings Manager

Full-Time On-site
A

Artistic Spaces Group provides studios, offices and workshops for creatives, makers and businesses across London.

We’re looking for an experienced Commercial Lettings Manager to lead our daily lettings activity, manage and develop the team, and turn enquiries into completed lettings.

Most of our lettings involve small studios and workspaces. Alongside these, you’ll coordinate larger commercial lettings and renewals, working with the directors and professional advisers where specialist input is needed.

This is a hands‑on management role. You’ll speak to prospective tenants, visit buildings, conduct viewings, negotiate terms and help colleagues resolve anything holding up a deal. You’ll need to work quickly, maintain accurate records and take responsibility for following things through.

Your responsibilities

  • Manage the lettings pipeline from initial enquiry through qualification, viewing, negotiation, documentation and move‑in.
  • Lead and coach the enquiry and lettings team, setting clear priorities, reviewing performance and arranging effective cover.
  • Ensure enquiries receive prompt responses and that viewings, feedback and follow‑up actions are properly recorded and completed.
  • Negotiate new lettings and renewals within agreed commercial parameters, presenting clear recommendations where director approval is required.
  • Work closely with building managers and the Portfolio team to maintain accurate availability, photographs, unit information and readiness dates.
  • Keep HubSpot records accurate and current, including customer requirements, agreed terms, outstanding issues and the next action.
  • Coordinate applications, deposit requests, documentation and onboarding with Sales, Customer Service and Finance, ensuring the required checks and approvals are completed before occupation.
  • Maintain a forward view of renewals, notices and upcoming vacancies, identifying opportunities to retain tenants or accommodate their changing requirements.
  • Build productive relationships with commercial agents and brokers, and coordinate larger transactions through to completion.
  • Work with Marketing to prioritise available space, improve enquiry quality and assess which activity produces completed lettings.
  • Report clearly on occupancy, rental income, conversion, renewals, concessions and deals requiring a decision.

What we’re looking for

  • A successful track record in commercial lettings, leasing or workspace sales, including regular responsibility for small units and a busy pipeline.
  • Proven experience managing people, with practical examples of coaching colleagues, improving performance and addressing missed commitments.
  • Sound commercial judgement when discussing rents, incentives, deposits, renewals and tenant requirements.
  • An understanding of commercial letting agreements and the ability to recognise when a matter requires director or professional advice.
  • Strong organisation and attention to detail, with the ability to manage multiple opportunities without losing ownership or allowing records to fall behind.
  • Practical experience using a CRM to manage daily work and report results. HubSpot experience would be helpful, but the ability to learn systems quickly and use them accurately is essential.
  • Clear communication with prospective tenants, existing occupiers, colleagues, agents and directors.
  • A direct and accountable approach: you identify problems early, resolve them and help prevent them recurring.
  • Willingness to work from our London office and visit buildings regularly.

You may currently be a Commercial Lettings Manager, Leasing Manager, Workspace Sales Manager, or a Centre or Cluster Manager with clear responsibility for sales and team performance.

Experience within flexible workspace, creative studios or a commercial multi‑let portfolio would be particularly relevant. We also welcome commercial agency experience where it includes team management and regular small‑unit lettings.

What success looks like

You’ll establish clear ownership of enquiries and renewals, maintain a reliable view of available space, and help the team progress suitable opportunities promptly.

We’ll assess performance through completed lettings, sustained rental income, tenant retention, effective commercial terms and the accuracy of your reporting. Numerical targets will be agreed after reviewing the starting position.

  • You’ll report to the Co‑Managing Director and work closely with the other director, Sales and Customer Service, Portfolio, Finance and Marketing.
