Hours: Monday to Friday 8:00am - 5:00pm

Reporting to: Molly McGranaghan – HR and Business Support Manager

Artic Building Services Ltd is an established and recognised leader within the M&E and Facilities Management sector. Via our standards and reputation within this industry we have successfully attained a solid foundation of varied blue-chip clients both commercial and public.

The HR Support will work closely with the HR and Business Support teams to carry out onboarding tasks for new starters which requires someone who is organised and confident. The role includes:

  • Completing right-to-work checks
  • DBS checks
  • Producing and reviewing annual leave reports for department managers
  • Other miscellaneous duties for the HR and Business Support team

The HR Support may also support the HR and Business Support Manager with business changes and implementing new projects.

The aim of the HR and Business Support Team is to ensure the efficient and satisfactory functionality of people, building, IT, telecoms, mobiles, fleet and running of Artic Building Services to guarantee smooth operation of the business.

Job Duties

  • Onboarding
    • Produce offer letters for potential new staff
    • Draft contracts of employment for new employees
    • Complete right-to-work checks for potential new employees
    • Chase new and existing employees for up-to-date information
    • Obtain references for new employees from their previous employers
    • Set up new employees on the absence management system (E-Days)
    • Undertake DBS checks for new employees and renewals for existing employees
    • Book in and chase reviews and probation appraisals for new employees and line managers
    • Collate, manage and chase completion of onboarding tasks for other team members
    • Audit new employees' documents to ensure correct and can be added to payroll by Finance team
  • Absence Management
    • Produce a weekly Annual Leave report and issue to the department managers
    • Review feedback from managers and make amendments where necessary
    • Help with day-to-day queries from team members
    • Collate finalised reports and issue to payroll
  • Other
    • Support with processing leavers and payroll updates each month
    • Help with the implementation and management of performance
    • Provide day-to-day support of HR Manager where needed
    • Providing departmental monthly updates for management
    • Support the Talent Acquisition officer where required
    • Provide holiday cover for Talent Acquisition officer
