We are looking for a Senior Personal Assistant for a UHNW family. The ideal candidate has experience managing the busy lifestyle of a UHNWI and their children.
This fast-paced role requires a high level of commitment, suitable for someone who can manage upwards and handle all aspects of life with minimal direction. The ideal candidate will act like a lifestyle manager, planning 30 days in advance and understanding the intricate details of each day as they unfold. Experience with high-net-worth individuals (HNWIs) and families is essential, especially having worked for a woman with children and a busy private life to organise.
Position Requirements:
- Senior role
- Minimum of 5 years of experience as a personal assistant for an ultra-high-net-worth (UHNW) or VIP family
- Experience coordinating with the Head of Management (HM), Head of Security, junior PA, and Senior Butler
- Reporting directly to the HM and the principals
Travel Requirements:
- Willingness to travel with the family and plan trips to organise hotels and holidays, as well as extended stays at other homes worldwide (e.g., 3-4 weeks in London)
- Availability to work weekends, remain on-call, and work from home after hours as needed
- Standard workweek: 50 hours from Monday to Friday, with overtime paid for after hours and on weekends
Day-to-Day Responsibilities May Include:
- Managing the family’s schedules
- Handling a high volume of online orders
- Coordinating health and beauty appointments for family members
- Managing purchases, invoices, and expenses
- Assisting with complex travel arrangements, including staff travel, jets, yachts, etc.
- Overseeing children’s school and extracurricular activities
- Event management and coordination
- Booking restaurants and leisure activities
- Researching the latest trends (fashion, toys, etc.)
- Managing household inventories
- Maintaining contact lists
Specific Areas of Focus:
- Lifestyle Management
- Professionally represent the family in correspondence, coordination, research, and planning
- Work closely with the family to understand and anticipate their needs
- Build relationships with vendors, frequented establishments, and family associates
- Maintain detailed calendars with notes on appointments, contact information, and directions
- Plan and execute small and large events (infrequently)
- Shop on behalf of the family, coordinate with stylists, manage returns, and assist in selling clothes through second-hand websites

- Plan complex travel arrangements and organise staff availability
- Oversee packing, prepare packing lists, and adapt to frequent changes
- Work with the local concierge to suggest and plan activities for the family during travel

- Keep meticulous records of all spending to provide to management and family accountants

- Collaborate with the family’s doctors, schools, and service providers to maintain accurate records of medical, educational, and personal information
- Work with the family’s stylists to track clothing, jewellery, and art inventory when necessary
Employment Details:
- Status: Employed as a W-2
- Salary Range: $150,000 - $165,000 USD
- Benefits:
- 2 weeks of Paid Time Off (PTO)
