A busy family residing on the Upper East Side, New York City, with a second home in Southampton, NY (primarily used in the summer months), is seeking a highly organised and dedicated Personal Assistant. The candidate must hold a US passport or a Green Card and will be responsible for overseeing household operations across both properties, managing staff, and handling a wide range of personal assistant duties to ensure seamless day‑to‑day functioning. This hands‑on, high‑energy role requires proactivity, strong multitasking abilities, discretion, and the ability to thrive in a dynamic environment.

Responsibilities

  • Household Management: Oversee day‑to‑day operations of both the Upper East Side residence and the Southampton home; manage household staff, including housekeepers, nannies, and outside vendors; create and maintain staff schedules, ensuring proper coverage at all times; liaise with service providers, contractors, and vendors for maintenance and repairs; ensure all household supplies are well‑stocked, including groceries, cleaning supplies, and toiletries.
  • Personal Assistant: Manage household budgets and track expenses; assist with home‑related bill payments, staff payroll, and other financial matters; handle correspondence and phone calls, including sorting mail and responding to inquiries; maintain the household email account on a daily basis; organise and maintain family records, files, and documents (including photos); coordinate family schedules; liaise with administrative assistants for both working parents, organise school activities, and occasionally assist with family travel arrangements; handle personal errands such as shopping, gift purchasing, and returns; help coordinate events, including social gatherings, dinners, and children’s birthday parties; maintain household inventories and manage reordering processes.

Requirements

  • US passport or Green Card.
  • Significant experience as a Personal Assistant, House Manager, or equivalent role in a private household.
  • Strong problem‑solving skills with the ability to manage multiple priorities and remain calm under pressure.
  • Proficiency with technology, including scheduling software, email, and household management apps.
  • Trustworthy, discreet, and respectful of family privacy; NDA to be signed accordingly.
  • Flexibility to travel between the Upper East Side and Southampton homes and adapt to occasional schedule changes.
  • Familiarity with managing household staff and vendors.
  • Valid driver’s license and ability to commute between locations.
  • Basic knowledge of smart home systems and technologies.
  • High‑energy and proactive attitude.
  • Strong verbal and written communication skills.
  • Long‑term commitment required.

Working Hours & Compensation

  • Monday–Friday, 9:00 AM–5:00 PM or 10:00 AM–6:00 PM (in‑person). On‑call availability required for evenings and weekends as needed. Flexibility to travel to the Southampton home during the summer months.
